Job Title: Design Team Support Specialist
Job Description:
We are seeking a highly organized and detail-oriented individual to support our design leadership and operations team. As a Design Team Support Specialist, you will play a critical role in providing comprehensive administrative, financial, and project coordination across the team.
Key Responsibilities:
* Support the design leadership team with day-to-day operations, including organizing travel, onboarding, meetings, events, and general office logistics.
* Maintain communication with the global design collective.
* Raise the internal and external profile of the team through social media, awards, events, and marketing collateral.
* Support team participation in industry events and community engagement.
* Monitor opportunities, manage a pitch library, and support proposal creation.
* Coordinate cross-departmental inputs and submission processes.
* Support live projects with scheduling, document preparation, and client meetings.
* Manage SharePoint, prepare contracts, and assist with resource planning.
* Oversight interim finance tasks, including billing, POs, and vendor setup.
* Champion best practices, support adoption of new tools, and foster a collaborative and learning-focused team environment.
Requirements:
* Bachelor's degree in a relevant field.
* Experience supporting creative or design-focused teams.
* Strong organizational, communication, and problem-solving skills.
* Proficiency in Microsoft Office, InDesign, Salesforce; familiarity with design and architectural industry practices.
* Knowledge of real estate is a plus.
