Diverse Minds Practice is a neurodivergent-affirming psychology clinic based in Dublin. We provide assessments and therapy for ADHD and autism across the lifespan, with a focus on compassionate, evidence-based, and inclusive care. As our practice continues to grow, we are seeking an organised and proactive Clinical Operations Coordinator to support the smooth running of our services.
The Role
The Clinical Operations Coordinator will play a key role in ensuring the effective day-to-day management of the practice. The role involves client communication, scheduling, financial administration, and office coordination. The ideal candidate will combine strong administrative and organisational skills with a genuine understanding of mental health and neurodiversity.
Key Responsibilities
Client Coordination (approx. 50%)
* Respond to client and referral enquiries via email and phone.
* Manage referrals and bookings using the Zanda system.
* Coordinate scheduling with the clinical team.
* Provide information on services, fees, and waiting times.
* Maintain waitlists and support a smooth client journey from enquiry to appointment.
Financial Administration (approx. 30%)
* Prepare and send client invoices and receipts.
* Track payments via banking and payment platforms (e.g., Stripe).
* Collect and process contractor invoices.
* Coordinate payroll and liaise with the practice accountant.
* Manage supplier and subscription payments.
Office and Operations (approx. 20%)
* Oversee office supplies, maintenance, and scheduling.
* Manage room bookings and support a welcoming, organized environment.
* Maintain administrative and HR records.
* Support general operational improvements as the practice grows.
Essential Criteria
* Degree in Psychology or equivalent experience in a healthcare/mental health administrative role.
* Excellent written and verbal communication skills.
* Strong organisational and time-management abilities.
* Proficiency with digital systems (e.g., Microsoft 365, Stripe, Zanda)
* Ability to work independently and handle sensitive information with discretion.
* Understanding and empathy for neurodivergent individuals.
Desirable Criteria
* Experience in a mental health or healthcare setting.
* Familiarity with practice management systems.
* Knowledge of ADHD, autism, and neurodiversity.
* Experience in bookkeeping or financial administration.
* Personal insight into neurodivergence (not required but valued).
