Role Description
HOMS Assist is looking for an exceptionally organised probate administrator to join our growing team, helping us to transform people's toughest challenges into better outcomes. This position that requires an agile, hands-on collaborator who loves project management. This role is for an administrator who will support a busy probate team, ensuring the smooth running of client matters, efficient file management and excellent client service. In a Nutshell :
* Act as first point of contact for client queries.
* Diary management, schedule meetings and monitor deadlines.
* File management to include open, maintain and close files.
* Maintain up to date case management system and databases.
* Ensure anti-money laundering compliance on all files in line with firms processes.
* Preparing and maintaining estate accounts, ledgers and financial statements.
* Preparing standard letters.
* Process payments, lodgments and invoices.
* Photocopying, scanning, filing and archiving of documents.
* Work closely with the team to optimise client care.
Requirements:
* Strong organisational and administrative skills.
* High attention to detail.
* Excellent written and verbal communication skills.
* Ability to handle confidential and sensitive information with discretion.
* Proficiency in Microsoft Office and case management systems.
* Ability to manage multiple priorities and deadlines.
* Strong interpersonal and communication skills, with the ability to inspire confidence and create trust.
Education & Qualifications:
* Previous experience in a legal, financial or professional services office desirable (probate/private client experience a distinct advantage but not necessary).
* Strong administrative background required.
