The Supply Chain & Commercial Operations Assistant will primarily support end-to-end supply chain activities, ensuring efficient procurement, inventory control, logistics, and compliance processes.
The role also provides administrative and operational support across commercial functions, including sales order processing, distributor coordination, reporting, and ongoing supplier and customer interaction.
This is an entry-level position suited to a detail-oriented individual with strong organisational and communication skills who is keen to develop a career in supply chain and operations within a regulated environment.
Key Responsibilities:
Supply Chain & Operations
Support procurement activities, liaising with vendors to manage orders, required documentation, and resolution of queries.
Complete incoming and outgoing inspection of stock from outsourced manufacturing partners, including generation and maintenance of required records within the electronic quality management system.
Maintain accurate inventory records, including administration of consumed stock and tracking of inventory movements within company systems.
Manage stock replenishment activities in collaboration with distributors, ensuring continuity of supply.
Execute logistics operations, including packing, courier bookings, and preparation of shipping and customs documentation.
Ensure all inventory handling, storage, and logistics activities are compliant with internal procedures and applicable regulatory standards.
Monitor and manage tasks within the Issues Tracker, ensuring timely follow-up and resolution of stock or service-related issues.
Support the monthly Sales & Operations Planning (S&OP) process through data preparation, coordination, and reporting.
Commercial & Administrative Support
Assist with distributor setup, approval processes, and ongoing administration.
Support sales order processing and maintain accurate records within ERP/CRM systems.
Liaise with distributors regarding shelf stock, product updates, billing queries, inventory counts, and general operational issues.
Monitor changes to manufacturing costs, update internal pricing systems, and support analysis and preparation of commercial reports.
Prepare and maintain reports relating to inventory consumption, invoicing, and commercial performance.
Provide administrative support for marketing and promotional activities as required.
Manage and administer shared company mailboxes, ensuring timely responses, organisation of communications, and appropriate routing of queries.
Support general operational administration, including invoice logging, purchase order generation, and document control.
Cross-Functional Collaboration
Work closely with Quality, Regulatory, Engineering, and Commercial teams to ensure compliance with internal processes and external standards.
Support documentation, audit readiness, and general operational requirements across supply chain and commercial functions.
Perform other related duties as required to support business needs and ensure operational continuity.
Key Competencies:
Degree (Level 7/8) in Supply Chain, Business, Engineering, or related discipline.
Strong organisational skills with the ability to prioritise and maintain attention to detail.
Strong communication skills, with the ability to interact effectively across internal and external stakeholders.
Proficiency in Microsoft Excel; experience with ERP/CRM systems advantageous.
Ability to work independently and take initiative.
Experience in administration, logistics, order fulfilment, customer service, quality, or warehouse operations is desirable.
Knowledge of regulated environments (e.g. ISO *****, GMP/QSR) is an advantage.
