The OpportunityAn exciting opportunity has arisen for a passionate and enthusiastic professional to join The Wheel's energetic team. This role will support the extensive national training programme provided by The Wheel to the nonprofit sector across Ireland and will have a key role to play in supporting the delivery of a range of other events throughout the year, including our annual conference, which is the largest gathering of people from the community and voluntary, charity and social enterprise sector every year in Ireland.3. The RolePosition: Training & Events OfficerLocation: Dublin, hybrid, with some regional travel requiredThis role requires frequent presence in Dublin for meetings and events, and travel to different locations within Ireland on occasion. We estimate that attendance at the office in Dublin will be required approximately twice a week, but this may be more at certain times during the year.Reporting to: Training ManagerROLE PURPOSEThe primary focus of the role will be to support the delivery of training and other events within The Wheel. The post-holder will work closely with the Training Manager to deploy systems and processes that maintain The Wheel's excellent reputation as a training provider of choice in the community and voluntary sector.WORKING RELATIONSHIPSThe post holder will work closely with the Training Manager, and colleagues within the wider Skills Team. The post holder will frequently work across teams in The Wheel to support the delivery of events and projects. The post holder will also develop excellent relationships with external event and training related trainers and suppliers.MAIN RESPONSIBLITIES AND DUTIESThe responsibilities include, but are not limited to the following:· Lead the management of online and in-person training and events, and some in-person meetings, working closely with the Skills and Operations Teams, and across other teams as required. This will include supporting the delivery of events such as The Wheel's annual summit, the national skills event, and other special events as required.· Lead weekly training & events team meetings to ensure smooth running of events· Lead the administration and updating of events on SharePoint and Salesforce.· Update and create training webpages on The Wheel's website, including uploading and updating of webinar archive.· Liaise between the Skills Team and the Marketing and Communications Team to ensure clear and timely communication of event targets and requirements.· Support the planning and innovation of the annual calendar of training and events· Lead the training and event logistics process, working with team members, to ensure all appropriate steps are carried out, including:o Book venues for face-to-face events & coordinate online event planningo Liaise with internal and external trainers re eventso Organise logistics for events – room set up, welcoming and registration, refreshments, technical support, liaising with speakers, etc.o Send event reminder and post-event evaluationso Provide technical support to internal and external speakers and trainers for online eventso Update Salesforce campaigns to capture event attendee detailso Work with the finance team to ensure timely invoicing· Embed and monitor quality assurance process for training delivery. Identify quality assurance improvements and feedback to manager.· Lead the collection of evaluation and impact data on training and events, including the building of surveys and reports.· Support and advise members in relation to training, including:o Registering members for training eventso Issuing invoices for paid workshops when requested by memberso Dealing with and tracking queries relating to training.· Provide admin cover and support to the Operations Team as required.· Support the skills team in the use of The Wheel's Client Relationships Management (CRM) system, Salesforce, as requiredo Update the Salesforce CRM system where necessary in relation to changes/query tracking etc.o Use of Salesforce CRM to generate reports and source information as needed.· Carry out such other duties and or projects as the Training Manager and other Managers and Directors may determine, consistent with the overall purpose of the post.PERSON SPECIFICATIONEssential Criteriao Excellent interpersonal skills and ability to communicate effectivelyo Ability to be self-motivated and work on own initiative, as well as part of a teamo A high level of organisation skills and the ability to prioritise work and meet deadlineso Proficient in IT skills (confident use of Salesforce CRM, Zoom, MS Teams)o Excellent attention to detailo High degree of motivation, curiosity and flexibilityo Strong commitment to team worko Ability to travel regionally for in-person events and meetingsDesirable Criteriao An understanding of the community and voluntary sector in Irelando Experience of event support and administrationo A demonstrated commitment to lifelong learning4. Key information about this roleThis is a permanent position with The Wheel. The Wheel's offices are currently located in Dublin 2. A new office location is due to be confirmed shortly, and it is anticipated that this location will be in Central Dublin.This contract is for 36-hour week and salary is payable monthly in arrears.The Wheel both offers and expects flexibility in terms of hours and location of work for a role such as this and the remuneration and benefits package offered reflects this.This role requires the post holder to attend in-person meetings in Dublin and elsewhere on a regular basis. The role requires the postholder to be available and able to travel to various locations around the country for events and other role related activities.Additionally, the role may require participation in meetings which can occur in the evenings and on weekends. Travel outside of the office is reimbursed according to our expenses policy.The pay band for Officer level posts in The Wheel is €33,879 - €45,837.
