Property Management Team Leader, South WestContract: Full Time, Permanent ContractLocation: CorkThe purpose of this role is to manage a staff team in the provision of the Housing Management and Maintenance service in the South West.What you will do: FinancialDevelop and manage annual budgets by forecasting requirements and analysing variances, data and trends.Maintain accurate records of all transactions and submit on timely basis (i.e., rents, damage reports, move-in/move-outs, etc.
).Prepare annual budgets and income projections in a timely and accurate manner.Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.Ensure that invoices are submitted to the Accounts Department for payment, handle petty cash and all funds.AdministrativePrepare and/or implement procedures and systems to ensure orderly, efficient workflow.Confirm all properties and corresponding paperwork are completed and inputted into the Housing Management System (Affinity) accurately and on a timely basis.Ensure current resident files are properly maintained.Ensure all administrative paperwork is accurate, completed and submitted on a timely basis.Lead emergency team for all properties.
Ensure proper response and handling of all emergencies with staff, residents, buildings, etc.
within organisational policy to minimize liabilities (i.e., criminal activities, employee/resident injuries, fires, floods, freezes, etc.
).Team ManagementAchieve strategic goals through ownership and leadership of the team, including ongoing exploration of opportunities to add value to job accomplishments.Ensure high levels of efficiency of staff through ongoing training, instruction, supervision and leadership.Plan weekly/daily staff schedules and assignments.Coordinate maintenance schedule and assignments.Monitor performance and administer action plans consistently, and on a timely basis with any issues arising, in line with organisational policy.Provide support to staff to encourage joint team work with Service staff and lead as an example in creating a harmonious environment.Ensure all administrative processes involving staff are handled on a timely basis (i.e., performance reviews, SoftWorks, payroll, change of status forms, etc.
).Housing Management & MaintenanceEnsure the organisation's policies and procedures for housing management and maintenance are implemented.Ensure compliance with the terms and conditions of the Tenancy Agreement.Proactively manage any breaches of obligation that may arise up to and including any necessary legislative proceedings.Proactively manage rent setting and rent collection and assure rent arrears are kept to an agreed minimum.Proactively manage rent arrears management procedures.Maintain property appearance and ensure repairs are noted and completed on timely basis.Ensure that void periods are kept to an agreed minimum.Liaise with contractors and property management companies where applicableAssure quality and quantity of all Focus Housing properties.Manage cyclical and planned maintenanceEnsure that properties are inspected regularly and communicate any Service related needsEnsure that all repair requests are recorded, categorised and completed within the required timespan.Health & SafetyIn conjunction with the manager coordinate and review Health and Safety compliance across all sites.Lead staff by implementing a "safety first" principle.Participate in the development and implementation of Health and Safety policies and procedures.OtherWork within the framework of the overall objectives of Focus Ireland.Positively promote Focus Ireland in activities and conduct.Comply in full and adhere to all Focus Ireland policies including confidentiality, protection and access to records and to comply with the organisation's electronic communications policy.Work with the Property & Housing Director to undertake all duties which may reasonably be assigned from time to time.To participate in relevant training and development courses as agreed with your Manager.To participate in the Team in working together collaboratively.To be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of your line manager or Health & Safety Representative.What you will need: Third level qualification in Housing Management and Maintenance, Property or in another relevant area.Practical experience and understanding of social housing and the part Focus Ireland plays in this area.Proven leadership capability, drive and ambition with ability to take the initiative.Proven strong leadership capability with strong people management skills.Minimum two years experience in a management role.Positive and proactive approach to dealing with diverse teams and functions.Good commercial acumen and proven success for delivering objectives.Strong project management, budgeting and management skills.Good communications skills including excellent presentation skills.Excellent attention to detail.Possess a solutions focused attitude.Proficiency in MS Office, ie, Excel, Word and Outlook.A team player with excellent attention to detail.Strong communication skills.Be trustworthy and conduct the role with integrity.
