The company is in an exciting phase of growth and is seeking an Estimator to join the Fine Art Logistics team.
POSITION DESCRIPTION
The Fine Art Estimate Coordinator is a quoting specialist responsible for scoping, costing, and preparing estimates for art handling projects, from the initial client brief through to delivery. This includes obtaining supplier and partner agent quotes (crate manufacture, transport, customs), consolidating costs, and producing accurate commercial proposals. The Estimator will work closely with operations and client services teams to ensure all quotes are timely, competitive, and aligned with client requirements.
Key Duties & Responsibilities:
· Interpret client briefs and project requirements
· Prepare detailed quotes for national and international art shipments (air, road), packing/crating, handling, customs/duties/VAT, partner agent costs, etc.
· Solicit, compare, and consolidate quotations from suppliers, crate makers, freight carriers, partner agents.
· Produce clear proposals, including assumptions, terms & conditions, lead times, and cost breakdowns.
· Follow up on outstanding quotes
· Maintain and manage an estimate tracker; report on conversion rates, margin performance, and analyse reasons for lost business (win/loss feedback).
· Build and maintain strong relationships with clients, agents, partners, and suppliers to ensure reliable service and competitive pricing.
· Maintain accurate records of all estimates and communications.
· Work under tight deadlines and manage multiple quote requests/priorities simultaneously.
NUMBER OF YEARS PREFERRED EXPERIENCE
· Minimum 2 years relevant experience in freight forwarding, logistics estimating, or art handling/transport quoting.
· Experience with international shipments, customs clearance, partner agent coordination.
· Strong Excel skills
· Excellent communication skills, both written and verbal; client-facing experience desirable.
· Strong organisational skills, attention to detail, ability to prioritise.
· Commercial mindset: balancing competitiveness with maintaining industry standards.
· Integrity, professionalism, discretion handling high-value art pieces.
· Knowledge of art industry is desirable but not required.
