The successful candidate will be joining the busy multi-disciplinary office, providing support to a diverse range of Environmental Consultants.
**The role**Working as part of a wider team of business support/administrative professionals across the company, you will be required to undertake a wide range of administrative duties to support the Client Facing and Shared Services staff within the office and the wider community.
You will manage and assist in the development of a number of the Business Support team administrators, carrying out yearly and mid-year appraisals and supporting with training requirements where needed.
You will also be required to delegate for the Business Support Manager when they are absent from the business, approving expenses and timesheets and assisting with any ad-hoc duties that may be required.Other main duties and responsibilities will include:* Supporting Client facing staff through co-ordination of contact with other SLR Shared Services such as Finance, HR, H&S, IT and Marketing.
* Line managing and developing a team of administrators and senior administrators conducting performance reviews, ensuring all training is up to date and relevant etc.
* Overseeing office requirements, ensuring that your office(s) are H&S compliant, with the standard SLR desk set up (where applicable) and are welcoming to members and visitors.
* Taking responsibility for the day-to-day management of the office environment, including liaison with our Estates manager on all landlord related matters.
Working with our Facilities Manager on all facility related office matters.
Delegating to Senior Administrators and Administrators as appropriate* Approving absence and leave requests and performing back to work interviews after absences for your reporting line.
* Ensuring all appraisals and midyear reviews are carried out in line with the training team timetable for your reporting line.
* Assisting the Business Support Manager in all aspects of the business support team where appropriate, and ensuring administration coverage in all offices and the team.
Note that European Hub Offices will require full time (5 days per week) coverage in line with requirements set from time to time.
* Supporting your fellow Regional Team Leaders and the wider business support team wherever required.
* Responsibility for managing appropriate front of house responsibilities in all offices within your region and in your reporting line, with respect to welcoming visitors and guests to the office.
* Be active in, as well as managing, the sub-teams ensuring KPI's are met eg Contracts Review, Travel Team, Client Registration, Formatting etc.
* Preparing reports, presentations, memorandums, proposals and correspondence as well as formatting, scanning, copying, proof reading and issue of reports and other documents for the European client facing team members.
* Organising and maintaining files and databases along with filing and archiving/retrieving project documents.
* Attending to confidential data and correspondence.
* Assisting with other administrative and secretarial duties as required, which include assisting with reception cover, taking phone calls, purchase orders, invoices (for all European offices), car hire and arranging couriers, welcoming visitors, providing refreshments and other duties as required.
* Identifying, recommending, and implementing business improvement processes to enhance the effective delivery and working practices of Business Support.
This will include the delivery of guidance documentation and training.
* Building key internal relationships and contact points for effective engagement with Service Lines and SLR Shared Services.
