Office Administrator in Dublin 24
We have an exciting opportunity for an experienced Administrator to join our team at Staffline Recruitment, supporting a multinational engineering company based in Dublin 24.
The ideal candidate will provide administrative support to the office and primarily the Operations Leader to manage office functions including work order coordination, parts ordering, schedules of engineers, daily office operations, budgeting/accounting systems, maintaining office records, and general support services for divisional staff.
Main Responsibilities:
* Assist the Service Team in all aspects of service and general admin as needed.
* Coordinate all service activities, work direction, and support systems.
* Maintain and update administrative policies and processes independently.
* Organize department's central files, information, filing, and messages.
* Assist staff and customers in sourcing and ordering parts, supplies, and materials.
* Prepare quotations and bid information.
* Manage invoices to customers.
* Manage supplier and sub-contractor invoices.
* Manage engineer scheduling, including receiving work requests, assigning work orders.
* Provide quotations to customers for repair works.
* Implement the MS365 Field Service Tool.
* Support Health Safety requirements for the Irish Operation.
* Support overall operation of the Irish operation as required, including hosting customers, organizing refreshments, and assisting with marketing activities.
Requirements:
* A minimum of 2-3 years experience working in a similar role.
* Demonstrated ability to work and communicate professionally with internal and external customers.
* Customer service excellence demonstrated.
* A strong knowledge of the Microsoft Suite, including Excel, Outlook, Word, and PowerPoint.
* Strong interpersonal skills and ability to work in a team environment.
* Responsibility for follow-up on actions based on various team projects.
* High organization and time management skills for managing multiple tasks.
* Ability to perform complex projects using independent judgment and personal initiative.
* Build strong internal and external relationships using effective verbal and written communication skills.
* Ability to work independently without regular direct supervision.
This permanent position is based in Dublin 24 and offers a salary in the region of €35,000 - €40,000 depending on experience.
