Medical Secretary To provide a comprehensive, confidential administrative support service to a consultant delivered medical practice.
The role primarily involves telephone answering and appointment scheduling, preparing and executing clinics, surgery scheduling, and database/correspondence management.
A successful candidate will be a team player, patient focused, flexible and will be joining a busy, state of the art Practice, which is patient and service orientated.
The Practice encompasses a team of doctors, nursing and support staff.
Key Responsibilities: Manage and Organise Clinic Schedules: communicating with patients, liaising with referring Doctors, booking appointments, preparing for daily clinics and managing clinic progression.
Responsibility for surgery scheduling and co-ordination with other hospitals is a major part of the role.
Additionally, keeping a log of current inpatients and informing the Consultant(s) of any changes communicated to the practice.
Administration and Co-ordination of Correspondence: typing is currently outsourced and requires liaison with the external Dictation Centre.
This involves editing, proof reading and compilation of documents into letter format, as required.
All dictated instructions are noted and followed up appropriately and accurately.
Responsibility for typing and preparing ad hoc letters and reports as dictated, on occasion.
Billing: responsibility for insurance billing and invoicing on a daily basis, and training will be provided.
Database Management: assist with maintaining the filing system and the electronic database in relation to all documentation handled.
Telephone System: working as part of the team in managing the telephone system, ensuring all calls are received, recorded and dealt with within an appropriate time frame.
Proof Reading: editing reports and letters with correct medical terminology is essential.
Person Specification: Previous experience in an administrative or secretarial role is essential within a busy environment managing complex diaries an advantage.
A successful candidate will be patient focused, efficient, possess the ability to work under pressure and multi-task.
Candidates should display initiative, common sense and flexibility.
An excellent telephone manner and empathy with patients is highly important.
Must have a can-do attitude, excellent interpersonal skills and be reliable.
Professional appearance is required.
Proficiency in all MS Office applications plus ECDL certification is a distinct advantage.
Excellent written and verbal skills with strong command of the English language, including spelling is essential.
Experience in medical billing for VHI/Aviva or similar is ideal, but not required.
Secretarial Course qualification is advantageous.
