Key Responsibilities Service Provision & Operational Management Ensure effective and continuous administrative service provision in the ED on a 24/7 basis.
Oversee staff rostering to always ensure legal compliance and appropriate coverage.
Ensure Grade V Officers maintain accurate records relating to duty rosters, attendance, salaries and staffing.
Ensure all relevant procedures regarding private health insurance processes are followed for inpatients.
Respond promptly to staffing gaps and service disruptions, ensuring continuity of front-line administrative cover.
Ensure all internal policies, national guidelines, legislation, and PPGs are adhered to across the service.
Proactively identify operational issues and implement solutions to maintain patient flow and service quality.
Leadership & Staff Management Provide leadership, guidance, and support to Grade V Officers and all ED Clinical Administration staff.
Ensure all staff receive induction, mandatory training, CPD, and role-specific training.
Conduct CPD meetings with Grade V Officers and direct reports.
Maintain high standards of attendance, conduct, performance and professionalism across the team.
Lead regular one-to-one meetings and team meetings.
Manage local employee relations matters and escalate concerns appropriately.
Support recruitment processes including identifying service needs, developing business cases, drafting job descriptions, interviewing candidates and supporting onboarding.
Reallocate resources across teams when required to maintain service continuity.
Governance, Compliance & Quality Improvement Manage the smooth and effective delivery of Clinical Administration Services within the ED.
Attend and actively participate in senior management forums, including Emergency Medicine Operations Group, Heads of Department meetings, Clinical Administration Senior Management meetings Ensure all PPGs, procedures, and forms are regularly reviewed, updated, and aligned with best practice and external requirements.
Prepare business cases and requirements documents to secure resources or implement service changes.
Communicate organisational objectives, priorities, performance expectations and service developments to ED admin teams.
Develop, monitor, analyse and report on Key Performance Indicators (KPIs) across the ED administrative functions.
Lead quality improvement initiatives and support accreditation processes.
Ensure Grade V Officers are supported, trained and equipped to deliver their duties effectively.
Major Emergency Planning (MEP) Actively participate in all Major Emergency Planning exercises.
Provide expert guidance on all aspects of MEP within Clinical Administration.
Deliver annual MEP training sessions for Clinical Administration staff.
Ensure all administrative procedures, action cards, documentation and plans relating to MEP are up to date.
Lead Clinical Administration activity within the ED during an MEP event and oversee associated functions in Bone and Joint Unit.
Coordinate reconciliation and restoration activities following stand-down.
Risk Management Identify potential risks to service delivery or quality and implement mitigation strategies.
Maintain an up-to-date risk register.
Investigate and respond to Risk Management Occurrence Forms (RMOFs).
Investigate concerns and complaints from patients or their representatives and take appropriate preventative action.
Ensure lessons learned from incidents and audits inform service improvements.
Monitoring, Audits & Reporting Monitor and report on Clinical Administration activity, performance and service efficiency.
Produce regular and ad-hoc activity reports, performance analyses and KPI dashboards.
Ensure compliance with all relevant procedures, internal PPGs and external standards.
Ensure that Grade V Officers conduct regular quality audits and follow up on findings.
Ensure compliance with Joint Commission International (JCI) recommendations.
ICT Systems & Digital Administration Maintain and create user accounts, master files, templates and lookup lists on PAS and Maxims.
Provide senior oversight of ICT issues, liaising with IT and system vendors to resolve incidents.
Ensure robust contingency procedures are in place for ICT outages or system failures.
Participate in planning, testing and implementing ICT upgrades or new systems relevant to Clinical Administration.
Ensure super-user responsibilities for systems such as Clinical Portal, T-pro, and Perceptive are carried out appropriately.
Ensure all staff understand ICT procedures, outage protocols and contingency arrangements.
