Job Description:
The SC CIO EA / Project Coordinator plays a crucial role in supporting the JJT CIO, Innovative Med - Supply Chain as well as providing high-level support to the IM Transcend Team. The role is responsible for traditional EA activities as well as coordinating, performing and managing high level project administrative tasks and activities. This position requires an organized, proactive, and detail-oriented individual who excels at multitasking while maintaining a high level of professionalism and discretion
Executive Assistant Responsibilities:
* Primary point of interface between CIO, Innovative Med SC leader and internal/external
* Calendar and Work Management
* Travel, logistics and office planning
* Event planning, team building
* Communication support
* Expense reports
Work Order and Financial Management:
* Coordinate department work orders and associated purchase orders; manage and track as appropriate.
* Prepare and submit financial reports and accruals efficiently.
Project Management:
* Oversee the flawless execution of special assignments and projects for the Leadership Team.
* Collaborate with senior management on department and project initiatives, offering proactive solutions.
* Identify areas for process improvements in administrative workflows and implement new solutions.
Event, Travel and Logistics Management:
* Coordinate critical program workshop activities, meetings and event activities
* Build critical teams sites and other pre-workshop materials to support critical workshops
* Lead the coordination of domestic and international travel, including the creation of itineraries, handling visa/passport requirements, and booking travel arrangements.
* Support global travel logistics for meetings, conferences, and business engagements, ensuring alignment with organizational goals.
Coordination and Collaboration:
* Work closely with people leaders and site coordinators and other EA's to facilitate employee onboarding and offboarding processes.
* Coordinate site logistics for Leadership Team meetings, Town Halls, and large organizational events, partnering with the Communications and Engagement team.
* Demonstrate exceptional written and verbal communication skills to maintain professionalism across internal and external stakeholders.

* Learn new collaboration tools and implement as appropriate
