Since our foundation 20 years ago, we have grown steadily, now as we scale and accelerate our growth, we require an Service and Maintenance Coordinator for our after‑sales division to join our team of passionate and experienced professionals and help advance our progress as a trusted, integrated HVAC technology partner rapidly delivering high quality, low carbon, prefabricated solutions and adding value to our customers.
Role Location:
This is a full‑time role in our head office in Maynooth Business Campus, because of the highly interactive nature of the role, we will not be able to offer a hybrid or remote working options for this role.
Responsibilities and fundamentals of the job:
* Customer Communication: Manage customer needs from initial contact, liaising with customers to scheduling engineers’ visits, issuing quotations for services, issuing preparedness checklists to customers to ensure engineers can perform their work without delay.
* Team Coordination: Liaise with our service engineers to carry out work on site. Provide them with a full list of materials needed to carry out the service. Arrange all safety documentation required on site. In conjunction with our customers on site, arrange inductions for our service engineers. Maintain a schedule of all upcoming work to be carried out by the service team and schedule the upcoming work in a professional manner, keeping both service technicians and our customers on site fully informed. Arrange all flights and accommodation for service engineers if they are working internationally or away from home. Review all timesheets for salary and overtime preparation.
* Maintenance Management: Arrange both scheduled and emergency call outs. Actively seek out new business opportunities for new maintenance contracts. Time management of service engineers to ensure that they are carrying out work on site within reasonable timeframes and this work aligns with our charges to our customers.
* Client Liaison: Work with our customers to ensure service work is carried out to satisfaction. Adopt a good business development relationship with our customers to maximize commercial opportunities in the future. Provide a follow‑up service for the customer, with clear reports of complete work and recommendations for future work.
* Documentation Management: Manage all documentation related to the Service division, both internally and externally.
* Accounting Responsibilities: Bookkeeping for the service division is part of this role, this involves accounts payable, accounts receivable and maintenance of banks. The maintenance division is small at present, and we expect this commitment to grow as the service division expands.
* Team Player: Be a team player in working with technical colleagues and the whole Entropic team to help maximize the company’s success.
Essential Skills & Ideal Profile:
* Preferably 2 years’ experience as in a similar role within a building contractor or engineering company.
* A third level degree in business or a building service or quantity surveyor discipline.
* Strong analytical, problem solving and diagnostics skills with ability to adapt, improvise and think on their feet.
* Excellent communication skills, meticulous attention to detail and good documentation practice.
* Self‑contained with the ability to manage their own workload and operate effectively alone on assignments.
* EU Work permit.
* Excellent English communication skills, both written and oral.
