Services Administrator to join our team.

Key Responsibilities
Act as the first point of contact for clients, tenants, and contractors, ensuring queries
are handled promptly and professionally.
Log, track, and monitor maintenance requests, ensuring jobs are scheduled and
completed within agreed timeframes.
Manage client portals, uploading reports, certificates, and updates to maintain
compliance and transparency.
Prepare and issue quotes, invoices, and supporting documentation where required.
Coordinate with contractors and suppliers to arrange attendance, confirm schedules,
and ensure timely delivery of services.
Monitor job progress and follow up on outstanding works or documentation.
Maintain accurate records, databases, and filing systems, both digital and paper-
based.
Produce and circulate reports for clients and management, highlighting job status,
outstanding actions, and compliance requirements.
Support the team with diary management, meeting coordination, and general office
administration.
Assist with health and safety compliance by tracking certificates, risk assessments,
and contractor documentation.
Build and maintain strong working relationships with clients to support account
management and customer satisfaction.
Identify opportunities to improve administrative processes and contribute to more
efficient workflows.
Candidate Requirements
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning
client-specific software or portals.
Strong problem-solving skills and ability to prioritise tasks under pressure.
High level of accuracy and attention to detail when handling documentation and
reports.
Minimum 3–5 years' previous experience in a busy administrative role.
Ability to work independently while contributing effectively to the wider team.
Professional telephone manner and confidence dealing with contractors, suppliers,
and clients.
Experience coordinating or scheduling jobs, contractors, or service visits is desirable.
Knowledge of compliance requirements (such as health and safety documentation,
certificates, and service records) would be beneficial but not essential.
Positive, proactive attitude with a willingness to take ownership of tasks.
Background in property maintenance or facilities management is an advantage.
Working Hours
Monday to Friday, 8:30 am to 5:00 pm with a one-hour lunch break.
