The role plays a central part in fostering an efficient office environment while providing hands-on support to HR, finance, and trading teams.Key ResponsibilitiesProvide general office administration across all teamsAct as PA to senior managementManage relationships with facilities/building managementCoordinate alarm access and office security codesHandle local office supply procurementLiaise with IT to ensure smooth operation of systems and equipmentOrganise meetings, events, and visitor arrangementsOversee health and safety protocols and documentationSupport HR with onboarding/offboarding processesPrepare meeting packs, attend meetings and take minutesMaintain document control and manage incoming/outgoing postAssist with bank reconciliations and credit card expense trackingReconcile accounts payable and receivableProvide audit support and assist with company secretarial tasksPerform other ad hoc duties as neededSkills and ExperienceEssential:Previous experience in office management within a small to medium-sized firmPA/EA experience at senior management levelProficiency in Microsoft Office (Word, Excel, PowerPoint)Strong organisational and multitasking skillsExposure to basic bookkeeping or finance supportAbility to work independently and as part of a teamExcellent verbal and written communication skillsPreferred:Experience in event planning and coordinationStrong analytical and numerical abilityExcellent time management skillsQualifications:Leaving Certificate with pass grades in English and Maths (essential)Diploma in secretarial, executive or business administration (preferred)BenefitsBonus opportunityCompany Pension (PRSA)Private Healthcare with VHISick Pay Scheme24 days annual leave plus bank holidays (FTE)Employee Benefits PlatformCycle to Work Scheme and Electric Car Scheme (post-probation)3-month notice period (both sides)6-month probationary period
