We are currently looking for a Facilities Coordinator to join our talented team here at our Dublin Studio.
The successful candidate will deliver a high-quality facility operations experience to all staff and visitors to studio.
They will also provide first-in-class facilities services, including front reception services, travel arrangements and health & safety management.
Key Responsibilities
Managing the new starter studio process, in collaboration with HR and IT, including the maintenance of the Card Access system.
Supporting all internal employee workplace relocations including managing desk booking software as required.
Delivering high quality meeting room and event space arrangements for internal and external staff.
Running daily/weekly AirCon, fire systems and Safety checks.
Providing a travel service to meet staff requirements including travel and accommodation needs and any courier requirements.
Arranging and coordinating (external?) catering for the studio.
Coordinating and managing studio cleaning contractors.
Reception Desk Servies including manning the main phone line and providing taxis, post, courier services.
Generating Purchase orders for relevant suppliers, including stationery and grocery supplies.
Managing supplier maintenance contracts for Aircon, Intruder, Fire alarms, photo copiers, shredding etc and ensuring the documentation of all active reports.
Coordinating the Contractor maintenance, task reporting and administration.
Coordinating Health and Safety staff training and record keeping including Work Station Assessment – in studio and at home as required.
Maintaining Desk Booking Software administration and upkeep.
Key Requirements
Knowledge
Working knowledge of managing phone systems.
Experience
Experience of working in a Customer Services role.
Previous office & reception experience (desirable).
Experienced in database work and maintaining tracking documents.
Technical skills
Strong administration skills.
Working knowledge of Microsoft Office.
Practical use of Photoshop and Acrobat (desirable).
