Galway Property Services are currently seeking a candidate to fulfil the role of Property Administrator. We are a small Property Management Company, based in Galway for almost 30 years. We manage property lettings as well as block management for apartments and estates.
The Property Administrator would be expected to manage or assist with:
* Managing daily phone and email enquiries from clients or tenants
* Logging any maintenance issues reported at our properties, issuing job details to our contractors, and tracking jobs through to completion.
* Assisting with property lettings; creating adverts, helping to vet new tenants.
* Working with Galway Property Services' Director to ensure all documentation is kept up to date, and filed correctly for both property lettings and block management. This includes copies of leases, property inventories, RTB annual renewals, fire safety certificates etc.
* Processing administration related to Rent Reviews
* Scheduling and carrying out inspections of properties, and reporting back any required actions (these may be carried out on-site or remotely by video call, depending on property).
* Updating Income & Expenditure reports for property lettings and issuing to Landlords.
* Assisting with the management of projects, such as sourcing quotations for planned works, issuing work order, and tracking works to completion.
* Miscellaneous tasks carried out away from the office, such as taking meter readings, property viewings/inspections, key cutting.
The role is a full time position, office hours generally from Monday to Friday, 9am to 5pm. Some tasks (such as inspections) may require the candidate to work outside of these hours (any agreed extra hours worked would be banked as time off in lieu).
The candidate must be flexible with work requirements, have excellent communication skills, be able to organize their daily work tasks and ensure projects are tracked and completed in a timely manner. Have the ability to work independently and part of a small team, be able to work under pressure and provide high quality customer service to our clients.
We are seeking a candidate with 2-3 years' experience working in a busy office environment. Background working with Property Lettings and/or Property Management is a huge advantage and preferred, though not essential. The candidate must have a good skill levels with Microsoft Office (Outlook, Excel, Word). A PRSA License is an advantage, and an opportunity to obtain a PRSA License will be available for the right candidate.
Driver's license and own vehicle is preferred, a fuel allowance is given for any tasks carried out off-site that require use of your own vehicle.
