Our technology supports clinicians, pharmacies, hospitals, and healthcare providers with the systems they rely on every day to run their practices and deliver care.
Across the group we develop platforms that support clinical workflows, healthcare communications, prescribing, claims management, and financial transactions within healthcare.
One of the fastest-growing areas, and most popular areas of the business is integrated healthcare payments. Our payments platform enables practices and clinics to accept patient payments directly through their clinical systems, helping reduce administrative workload, simplify billing, and improve the patient payment experience.
As this part of the business continues to grow, we are expanding the operational team responsible for supporting the rollout and day-to-day running of our payments platform. The Payments Operations Coordinator will play an important role in supporting this growth.
The Billing Coordinator supports the operational delivery of Lanas’ integrated payments platform which is rapidly growing across Ireland, the UK and internationally.
Working closely with sales, product, engineering, and support teams, the role ensures that healthcare practices are onboarded smoothly, payment terminals are delivered and activated efficiently, and billing administration is handled accurately.
This role combines operational coordination, administrative ownership, and customer support. It requires someone who is organised, detail-oriented, comfortable working with online systems and spreadsheets, and able to manage multiple tasks across a growing business.
There is no requirement to travel to client sites, conduct installations, or carry out any sales activity. The role is focused entirely on internal administration, coordination, and support.
As the payments platform continues to expand, the role will develop alongside it, offering opportunities to take on increased responsibility in payments operations, customer onboarding, and internal reporting.
Key Responsibilities
Payments Operations Coordination
You will be the operational heartbeat of the integrated payments business — the person who keeps things moving, makes sure nothing falls through the cracks, and gives the wider team the clarity they need to do their best work.

Own the operational inbox — triaging incoming requests, resolving what you can, and routing everything else quickly to the right person
Keep a clear picture of open tasks, actions, and follow-ups across the team
Build and maintain accurate records so the business always knows where things stand
Spot gaps or bottlenecks in the process and flag them — or better yet, fix them

Success is when → the team operates smoothly, requests don’t get lost, and everyone has visibility of what’s happening.
Terminal Deployment & Customer Onboarding
Getting a practice live on the payments platform is one of the most important moments in the customer journey. You’ll own that process end-to-end and make sure it goes without a hitch.

Drive the end-to-end terminal ordering and delivery process for every new practice
Track every shipment, confirm receipt, and make sure nothing sits idle once it arrives
Chase down any outstanding activations and proactively resolve blockers before they become problems
Work closely with the technical team to elevate and resolve any hardware or connectivity issues quickly

Success is when → practices go live faster, with fewer delays and a better first impression of Lanas.
You’ll often be the first point of contact for practices getting started with the platform. How that experience feels matters — a lot. You’ll bring warmth, clarity, and ownership to every interaction.

Be the friendly, reliable point of contact for practices during onboarding and early use
Answer day-to-day queries confidently and, as your knowledge grows, take on more complex support questions
Make sure practices never feel stuck or ignored — own the communication even when you’re escalating
Build relationships with practice Coordinators and staff that leave a lasting positive impression

Billing Administration & Financial Reporting
The business needs to know how it’s performing — and you’ll be the person who makes that visibility possible. Sharp, accurate reporting that people actually use and trust.

Produce regular reports on billing activity, sales performance, and terminal deployment for the leadership team
Own the accuracy of billing records and flag any discrepancies early
Maintain a clear, up-to-date picture of active accounts and deployed terminals
Build reporting packs that give leadership a clear view of how the payments business is performing.

Success is when → leadership can make fast, confident decisions because the data is always accurate and ready.
Internal Reporting & Operational Tracking
As the business scales, operational visibility becomes more valuable. You’ll be instrumental in building the tracking and reporting infrastructure the team depends on.

Own and continuously improve the spreadsheets, dashboards, and trackers the team relies on
Keep deployment and onboarding data accurate and current at all times
Deliver regular operational updates that give leadership a clear view of progress and performance

Success is when → the business has the operational clarity it needs to scale with confidence.

Smooth coordination of terminal deliveries and customer onboarding
Efficient handling of operational requests and customer queries
Accurate and timely operational and billing reports

Clear operational visibility across the payments platform

Person Specification
Experience – Essential

Experience working with digital platforms, CRM systems, or practice management systems.
Competent in Microsoft Excel, Word, and general productivity software
Previous experience in an administrative, coordination, or operations support role
Background or experience working in or with general practice — as a practice administrator, receptionist, or in a similar healthcare setting
Familiarity with Stripe or similar payment/billing platforms
Some exposure to bookkeeping, accounts administration, or financial reporting
Experience in a customer-facing or patient-facing support role

Knowledge & Skills

Strong organisational skills with a high level of attention to detail
Confident communicator, both written and verbal, with a professional and friendly manner
Ability to manage multiple workstreams simultaneously and follow through on tasks to completion
Comfortable learning new systems and adapting to a growing, evolving business environment
Proactive and self-motivated — able to identify gaps and take initiative without being prompted
Comfortable working with numbers and producing clear, accurate reports
