Job Description:
CubicM3 is looking for a Maintenance Administrator to join our busy maintenance team. The successful applicant will report to the Operations Manager and help support the maintenance department with administrative, sales and clerical tasks to ensure efficient scheduling, communication, documentation, and compliance with maintenance procedures. This role serves as the key liaison between the maintenance team, vendors, and other internal departments. the maintenance Administrator will be adaptable with high attention-to-detail and demonstrate the ability to quickly learn. This role would be suitable for candidates with an interest in developing a career in administration and sales within the construction and engineering sector.
Please note this full-time role will initially be fully office-based in Swords, Co. Dublin with the possibility of moving to a hybrid model in the future.
Key Responsibilities:
* Coordinate and schedule preventive and corrective maintenance tasks.
* Follow up on sales leads, prepare quotes, and close sales.
* Maintain accurate records of maintenance activities, service reports, and equipment histories.
* Communicate with vendors and contractors to arrange service visits and procure maintenance supplies.
* Monitor inventory levels for maintenance materials and reorder as needed.
* Ensure maintenance documentation complies with safety and regulatory standards.
* Prepare reports, spreadsheets, and presentations related to maintenance operations.
* Support the onboarding of new maintenance staff with administrative tasks and document setup.
* Assist with budget tracking, invoice processing, and purchase orders.
* Respond to internal maintenance-related queries and escalate issues as required.
Qualifications:
* Leaving Cert or equivalent; associate degree or certification in business administration or facilities management is a plus.
* 2+ years of administrative experience, preferably in a maintenance, facilities, or operations environment.
* Proficiency in Microsoft Office (Word, Excel, Outlook); experience with CMMS software is an advantage.
* Strong organizational and time management skills.
* Excellent written and verbal communication.
* Ability to work independently and manage multiple priorities.
* Proficiency in MS Office suite – Word, Excel, Outlook etc. required
* Experience in Salesforce or other CRM preferred
* Experience in SharePoint or other document management system preferred
* Fluency in English required
Salary for this role is dependent on experience
