Your responsibilities as Workplace Experience Coordinator with Themis Solutions Inc. shall include, but are not limited to:
1. Front office management and reception, including visitor and employee sign-in and access systems, mail management, and all other shipping/receiving;
2. Orienting employees and guests to the space through conducting site tours and wayfinding;
3. Maintenance of office space, ensuring they are well-stocked, clean, and welcoming; including light cleaning of communal spaces;
4. Identify facility deficiencies, coordinate repairs, and track deficiency status;
5. Support in regular facility inspections, keep up-to-date facility inspection records, and coordinate with building services for repairs and maintenance;
6. Assist with planning, coordination, and communication of internal and external events, including company meetings, monthly mixers, holiday parties, and team socials/on-site;
7. Collaborate with cross-functional teams, including People, IT, and OCEO, to ensure workplace policies and programs are executed and aligned with business objectives;
8. Conduct regular facility inspections to ensure all mechanical, electrical, and structural systems are operational;
9. Support the physical security of Clio's office, ensuring secured systems are operational, site access badges are managed, and liaising with IT/Security teams as needed;
10. Assist with OH&S program coordination, including maintenance of OH&S records;
11. Assist with workplace technology systems, including AV equipment and video conferencing systems;
12. Liaise with vendors for F&B, socials, and office supplies;
13. Track and process workplace experience expenses through internal software programs;
14. Collect and maintain data to measure the effectiveness of workplace experience programs;
