The Role
We are looking for a dependable, organised professional to join our team as a Customer Operations Coordinator.
You will play a central role in ensuring our customers receive a smooth, efficient and professional experience from order to delivery.
This is a practical, hands-on operational role focused on consistency, accuracy and ownership. It is ideal for someone who takes pride in doing their job thoroughly and reliably, and who values being part of a supportive, professional team.
You will report to our Supply Chain & Operations Manager and work closely with colleagues across the business.
This is a fully remote role for someone based in Ireland.

Experience & Skills
Preferred:
· Experience in customer service, order processing or operations coordination
· Experience using ERP or accounting software (e.g. Unleashed, Xero or similar
· Comfortable managing spreadsheets and CRM systems
· Excellent communication and interpersonal skills with a resilient, friendly and calm manner. You are definitely a team player.
· Highly organised
· Dedicated to delivering the highest levels of customer satisfaction
· Have a high level of attention to detail
· Can create, document & continuously Improve all processes for the functions of the role to a high standard
· Can work flexibly to meet the demands of our customers and the business
Helpful but not essential:
· Experience from working within the food and drink industry
· Additional foreign language(s) advantageous
· Experience coordinating freight or logistics
Key Responsibilities
· Actively working closely with the team on the day-to-day problem solving & delivering for our customers to a high standard.
Order Management
· Manage Shopify stores for UK and EU
· Process orders in Unleashed and Xero
· Coordinate shipments with UK and Netherlands warehouses
· Book pallet freight and liaise with freight providers
· Monitor deliveries and communicate updates to customers
· Manage claims for damaged or delayed goods
Accounts Receivable
· Liaise with Finance regarding outstanding payments
· Maintain accurate customer billing information in Xero
Customer Relationship Management
· Prepare and send customer quotes
· Maintain accurate records in CRM systems
· Set follow-ups and track communications
· Support the team with organised customer data Complete customer quotes efficiently
· Assist customers with questions to facilitate sales completion
