Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations.
The ideal candidate will handle a wide range of administrative and clerical tasks to ensure the efficient operation of the office.
You will be the point of contact for internal and external stakeholders, providing support to managers and employees.
Key Responsibilities:
Answer and direct phone calls, emails, and other correspondence
Organize and schedule appointments
Maintain filing systems (physical and digital) and update records
Prepare reports, memos, invoices, letters, and other documents
Assist in the preparation of regularly scheduled reports
Order office supplies and maintain inventory levels
Welcome visitors and provide general support to clients and staff
Ensure the office operates smoothly on a daily basis
Maintain confidentiality of sensitive information
Qualifications:
High school diploma or equivalent
Proven administrative or office assistant experience
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong written and verbal communication skills
Excellent organizational and time management skills
Ability to prioritize tasks and work independently
Attention to detail and problem-solving skills
Professional demeanor and strong interpersonal skills
Preferred Qualifications:
Experience with office management software (e.g., SMBO, QuickBooks, CRM systems)
Work Environment:
Office-based role
Standard business hours, Monday to Friday 9am - 5pm
