Service and Parts Coordinator
Job Overview:
The Service and Parts Coordinator will provide critical support to the Service Department, focusing on sourcing spare parts and delivering exceptional customer service.
Key Responsibilities:
1. Collaborate with Service Engineers to ensure customer needs are being met
2. Issue quotes using SAP numbers, including price, terms of delivery, payment, and validity
3. Create customized spare parts packages for projects
4. Process customer purchase orders
5. Source spare parts from suppliers while considering customer demand and warehouse inventory
6. Prioritize orders for urgent spare parts replacements
7. Verify items, prices, delivery dates, quantities, and supplier order confirmations
8. Prepare and send order confirmations to customers with detailed information
9. Coordinate with suppliers, freight forwarders, accounts departments, and customers for shipment arrangements
10. Review supplier invoices for accuracy in SAP records
11. Request invoices or credit notes from the accounts department
12. Arrange returns and replacements for defective items
13. Update spare part prices and inventory within the spares database system
14. Identify and escalate errors (quantity or value) to the Line Manager
15. Support the Service Manager with additional tasks and projects as required
Essential Skills and Qualifications:
* Strong interpersonal skills for effective customer interaction
* Understanding of best practices within a spare parts department
* Excellent time management, organizational, and record-keeping abilities
* Self-motivated individual capable of working independently
* Proficiency in Microsoft Office applications
* Knowledge of SAP Business Package
* Fluent English communication and strong phone etiquette
