The Senior Legal Technology Manager will play a critical leadership role in driving operational excellence across Matheson LLP. The role is responsible for the design, optimisation and delivery of scalable legal processes and technology-enabled solutions that support our lawyers and clients.
Leading a multidisciplinary team of document automation specialists, software support and testers and IT application trainers, the role ensures that legal processes, systems and tools are efficient, reliable, user-focused and aligned with the firm’s risk, regulatory and strategic requirements.
This is a senior, highly visible role requiring strong people leadership, deep experience of legal operations and technology, and the ability to work credibly with partners and senior stakeholders across the firm.
Key Responsibilities
1. Legal Process Optimisation & Delivery
Lead the identification, analysis and redesign of legal and operational processes to improve efficiency, consistency, quality and risk management at scale;
Apply structured process improvement methodologies in a legal practice context;
Work closely with partners, lawyers, and business services teams to translate business needs into optimised, technology-enabled workflows; and
Ensure process designs are compliant with regulatory, risk and information governance requirements.
Lead, manage and develop a team of document automation specialists, software support and testers and IT application trainers within a structured, performance-driven environment;
Set clear objectives, KPIs and development plans aligned with firm-wide priorities;
Ensure appropriate resourcing, capacity planning and prioritisation across multiple practice areas and initiatives; and
Establish consistent standards, methodologies and quality benchmarks across the team’s work.
3. Document Automation & Workflow Solutions
Oversee the design, build and ongoing management of document automation solutions across multiple practice areas;
Ensure solutions are robust, scalable, maintainable and aligned with legal and risk standards.
Partner with Knowledge and subject‑matter experts to ensure legal accuracy and consistency of automated outputs; and
Establish governance for template ownership, version control, testing and change management.
4. Testing, Quality Assurance & Change Control
Oversee software testing and quality assurance activities for legal technology platforms, workflows and process changes;
Ensure appropriate testing coverage; and
Act as a key contributor to technology change governance, ensuring solutions are fit for purpose before firm‑wide release.
5. Training, Adoption & Change Management
Oversee the delivery of IT application training and process‑led training programmes for lawyers and business services employees;
Drive adoption of new processes and tools through structured change management and stakeholder engagement; and
Track adoption and effectiveness, using feedback and data to inform continuous improvement.
Act as a senior point of contact for prospective and established Vendors;
Act as a senior point of contact for partners and senior business services leaders on process optimisation initiatives;
Build strong working relationships with IT, Information Security, Risk, Knowledge and other relevant teams;
Translate complex process and technical concepts into clear, pragmatic recommendations for non‑technical stakeholders; and
Support firm‑wide innovation and legal technology initiatives where required.
7. Strategy, Governance & Continuous Improvement
Contribute to the firm’s legal technology and innovation roadmap, identifying opportunities for further optimisation and automation;
Establish and maintain governance frameworks for process design, automation and testing in a large‑firm environment;
Define and report on success measures, including efficiency gains, risk reduction, quality improvements and user satisfaction; and
Stay informed of market trends and emerging technologies relevant to legal process optimisation.
Skills & Experience
Significant experience in legal process optimisation, legal technology or legal operations within a large law firm;
Proven experience managing and developing multidisciplinary technical or operational teams;
Strong working knowledge of document automation technologies and structured document design;
Strong working knowledge of case management, document management and practice management technologies;
Strong working knowledge of the Microsoft Office suite;
Experience leading software testing and quality assurance in complex system environments;
Demonstrated ability to deliver change at scale within a regulated, risk‑aware organisation; and
Excellent stakeholder management skills, with the credibility to work effectively with partners and senior leaders.
Formal training or certification in process improvement methodologies (e.g. Lean, Six Sigma, Agile);
Experience of formal change management frameworks;
Exposure to data‑driven decision‑making and performance reporting; and
Experience with case management tools, document management systems, document automation tools, document comparison tools, BundleDocs or equivalent, DocuSign or equivalent, and content management systems.
