Recruitment & Sales Support Executive The Recruitment Executive plays a support role within the Osborne, ensuring seamless coordination across all stages of the recruitment process.
This role involves candidate and client interaction, administrative support, compliance, and assisting consultants with daily recruitment activities.
In this role you will works towards financial targets as agreed.
The ideal candidate is highly organised, proactive, and client-focused with a strong understanding of recruitment processes.
Location: Waterford Job Type: Full-time Reporting to: Recruitment & Business Manager Key Responsibilities: Candidate Management Register new candidates, ensuring all documentation is complete, accurate, and compliant.
Screen CVs and assist in shortlisting candidates for active roles.
Coordinate and schedule candidate interviews, both internally and with clients.
Provide candidates with job briefings, interview preparation, and regular updates throughout the recruitment process.
Conduct reference checks, verify ID and right-to-work documentation.
Responsible and accountable for driving Compliance and achieving the following: Compliance References (Candidates at Interview) - 80% References (Current Temps) - 100% AWD Forms - 80% Temp Files & Compliance - 80% Terms of Business - 100% Temp Audits - 100% Client Support Liaise with clients regarding job requirements, interview scheduling, and candidate feedback.
Maintain regular contact with clients to ensure satisfaction with placements and support ongoing needs.
Book in temporary staff and confirm assignment details with both client and candidate.
Conduct check-ins with clients and candidates to ensure a smooth onboarding and placement experience.
Recruitment Administration Maintain accurate and up-to-date records on the applicant tracking system (ATS) and CRM.
Temporary payroll review weekly and ensuring all temporary timesheets are sent to payroll Prepare and maintain compliance documentation in line with agency standards and legal requirements eg.
AWD, TOB & NSF Support internal audits by ensuring all recruitment files are compliant and complete.
Assist with the creation and posting of job advertisements across various platforms.
Support with reporting on recruitment activity, placements, and candidate pipelines.
Public Sector Recruitment Support Coordinate and complete the weekly audit process for all active public sector recruitment campaigns, ensuring full compliance with contractual and regulatory requirements.
Prepare and submit accurate monthly and quarterly performance and compliance reports for public sector clients, ensuring deadlines are met and data is validated.
Serve as a key point of contact (POC) for public sector clients, addressing queries, providing updates, and ensuring consistent communication throughout the recruitment process.
Attend client meetings (virtually and in-person) on behalf of the agency, provide updates on recruitment progress, and follow up on action items.
Prepare and circulate meeting notes as required.
Support public sector interview panels by organising interview logistics and providing professional and accurate minute-taking services in line with public sector standards.
Assist consultants in reviewing applications and compiling shortlisted candidates for public sector competitions, ensuring adherence to eligibility criteria and scoring guidelines.
Manage all email correspondence related to public sector recruitment competitions, including issuing updates, arranging interviews, and sending regret and outcome notifications to candidates.
Conduct on-site reviews of temporary staff placed within public sector organisations, alongside the Account Manager, including temp inductions.
Monitor performance, gather feedback, and ensure both client and candidate satisfaction.
Business Support Duties Manage a busy switchboard, ensure phones are answered and lines directed accordingly in an efficient, accurate and professional manner Ensure Osbornes SLAs are followed in relation to front of house management Ensure the office reception and entrances are kept clean & tidy at all times Proof-read job advertisements and post online daily Edit any job adverts as needed to ensure accuracy and professionalism, as they represent both company and client.
Including any key words to maximise selling ability on searches Collate and distribute weekly e-shots and e-marketing campaigns with the Recruitment Team Accurately adding client contact information to Bullhorn Ordering office stationary and supplies General upkeep of office and kitchen areas, ensuring areas are neat and presentable Preparing and organising marketing materials for networking events, client briefings and expos?
Key Skills and Competencies: Excellent communication and interpersonal skills.
Professional with excellent communication and customer service skills Strong organisational and time-management abilities.
High attention to detail, especially in compliance and documentation.
Must demonstrate excellent verbal and written business communication skills.
Ability to manage multiple tasks and prioritise in a fast-paced environment.
Comfortable using recruitment software, CRM systems, and Microsoft Office.
Discretion and professionalism when dealing with confidential information.
Proactive and positive approach to teamwork and supporting others.
Qualifications and Experience: Minimum 12 years experience in a recruitment support or coordination role (agency experience preferred).
Experience with recruitment systems, applicant tracking systems, or CRM software.
