Background:
We are looking for a well-organised and motivated Executive Assistant/Legal Secretary to join our dynamic Litigation, Disputes Resolution and Investigations practice. This is an excellent opportunity for someone with 2–3 years' experience in a small to mid‑sized law firm, ideally with Litigation experience, to gain exposure in one of Ireland's leading law firms. The successful candidate will provide administrative and secretarial support to a team of lawyers and play a key role in the team's billing processes.
About the Role:
This role demands a high level of attention to detail, particularly when working on document management and financial documentation and billing cycles. You'll work closely with fee earners who advise on a wide variety of Commercial Litigation matters to include Healthcare and Life Sciences Disputes, Banking and Financial Services Disputes, Tax Disputes, Product Liability Disputes, Corporate Crime, Competition Disputes and Investigations, Shareholder Disputes, Aviation Disputes, Mediation and Alternative Dispute Resolution.
Key Responsibilities
* Provide comprehensive administrative and secretarial support to partners and senior associates in the Litigation Department team.
* Manage the billing process, including time entry, invoicing, and follow-up on outstanding payments.
* Liaise with the firm's finance department regarding the management of client accounts and transaction-related payments.
* Manage AML requirements for client onboarding, ensuring all procedures are followed.
* Manage auditing requests for clients.
* Maintain and organise physical and electronic files, ensuring all records are up-to-date and easily accessible.
* Coordinate and manage communication with clients and other stakeholders.
* Arrange meetings, conference calls, and travel itineraries.
* Prepare, proofread, and format a variety of legal documents, including agreements, pleadings, correspondence and other related documents
* Prepare and format Court booklets and e-bibles.
* Other administrative tasks as required.
Skills Knowledge and Expertise
* Experience assisting with the management of medical negligence, personal injury, product liability and healthcare litigation.
* Proficiency in AML procedures for client onboarding and document management systems.
* Working knowledge of Elite 3E and other legal practice management software.
* Strong organisational skills with attention to detail and the ability to manage multiple tasks under tight deadlines.
* Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint).
* Excellent communication skills, both written and verbal.
* Willingness to be flexible to the needs of the Firm.
