We're currently looking for an experienced Sales Co-Ordinator in the Abbey Theatre.
RESPONSIBLE TO: Business Development Manager
The Abbey Theatre is Ireland’s national theatre and occupies a unique position in the hearts and minds of Irish people. It has two theatres; the Abbey, with a capacity of 494 seats, and the Peacock, with a capacity of 132 seats. We produce a year-round programme of productions, public readings, talks, workshops, and artistic development work. We produce work at home and on tour, which not only showcases Irish and international theatre but also engages with the artistic and civic life of contemporary Ireland.
PURPOSE OF JOB
The Sales Co-Ordinator will serve as point of contact for key corporate clients and clients within the events & tourism sector. Managing group bookings and event enquiries daily. The successful candidate will work closely with the Business Development Manager and Events Co-ordinator to ensure a seamless client experience and achieve revenue growth targets.
RESPONSIBILITIES
Client and Enquiry Management
1. Act as the main point of contact for group bookings, event enquiries, and key corporate clients.
2. Handle email and online inquiries, ensuring prompt and professional redirection to appropriate team members.
3. Build strong relationships with clients through regular communication via phone, email, and in-person interactions.
4. Utilise Tessitura software to create and manage products and experiences in the booking system - system training will be provided.
5. Creation of client accounts on Tessitura and logging of client activities for the CS department.
6. Support bookings on YES Plan (internal schedule system) - system training will be provided.
7. Oversee B2B and group tour bookings, maintaining an accurate and up-to-date reservation schedule.
8. Liaise with Box Office Manager on rostering of tour guides’ schedules to meet booking needs efficiently.
9. Maintain strong communication with onsite operational teams to ensure they are kept aware of scheduled bookings and update any changes.
Events and Special Projects
1. Support Event co-ordinator on opening nights and special events, ensuring operational and client needs are met.
2. Assist in showcasing the Abbey Theatre’s offerings to B2B clients through site visits and familiarisation (FAM) trips when required.
3. Support Events Co-Ordinator in Event operations when required; evenings and weekends may be required.
4. Promote online tour products across the company website, third-party platforms, and Online Travel Agents (OTAs).
5. Collaborate with internal teams in marketing and communications to drive awareness of the Abbey Theatre’s events, tours & experiences and Theatre Skills for Business.
6. Manage invoicing and financial tasks, ensuring timely payments from clients, raising of POs and recording to relevant departments.
7. Support with procurement compliance for the department.
8. Prepare and deliver weekly and monthly reports, providing insights into bookings, revenue, and client engagement.
9. Post-event administration and Theatre Skill for Business workshops follow-up.
General Support
1. Provide cover for the box office and stage door as required, ensuring continuity of service.
Qualifications and Skills:
1. Strong organizational and multitasking abilities to manage bookings, client communication, and reporting effectively.
2. Knowledge of booking/reservation systems a distinct advantage.
3. Excellent interpersonal and communication skills to build and maintain client relationships.
4. Ability to work collaboratively within a team and across departments.
5. Flexibility to support evening events and special projects as needed.
TERMS AND CONDITIONS
1. Post: 1-year fixed term contract
2. Annual Salary: €30-€34K DOE
3. Probationary period: 2 months.
4. Holidays: 24 days per annum pro rata (including Good Friday & Christmas Eve).
5. Public Holidays: 10 Public holidays per annum pro rata.
6. Pension: The Abbey Theatre provides employees with access to a Personal Retirement Savings Scheme Account (PRSA) and will match contributions up to 5.5% of salary.
7. Life Assurance: The Abbey Theatre Group Life Assurance plan provides a benefit to all employees of 4 times annual salary in the event of death while in service.
