Role Overview:
The Purchasing Assistant will primarily support the Purchasing team, assisting with the full procurement cycle for direct and indirect materials, including raising purchase orders, supplier follow-up, and processing goods received. In addition, the role will provide support to Stores operations by assisting with the receipt, put-away, and picking of parts for projects.
Key Duties/Responsibilities:
* Raise and process purchase orders (POs) for direct and indirect materials in line with requisitions and company procedures.
* Track open purchase orders, follow up with suppliers, and ensure on-time delivery.
* Process supplier documentation, including invoices, delivery dockets, and certificates of conformity.
* Coordinate with internal stakeholders (Production, Engineering, Quality, Stores) to understand project requirements and ensure materials are available on time.
* Maintain accurate records of supplier performance, lead times, pricing, and delivery reliability.
* Assist the Purchasing Supervisor in supplier evaluation, selection, and onboarding.
* Support monitoring of budgets and costs related to purchasing activities.
* Identify opportunities for cost savings, process improvements, and efficiency gains in the Purchasing function.
* Ensure compliance with internal procedures, quality standards, and regulatory requirements in all purchasing activities.
* Assist in preparing reports and analyses related to purchasing metrics and supplier performance.
* Receive and inspect incoming materials, ensuring correct quantities, quality, and documentation.
* Generate GRNs (Goods Received Notes) and update ERP/inventory systems accurately.
* Carry out put-away activities and maintain stock in designated locations with correct labelling and traceability.
* Pick and prepare kits and parts for projects accurately and on time.
* Assist with periodic stock counts, cycle counts, and reconciliation of ERP data against physical inventory.
* Maintain the Stores area in a clean, safe, and organised condition in line with Health & Safety standards.
* Identify and resolve stock discrepancies or damaged items promptly.
* Contribute to continuous improvement initiatives within Stores operations, including stock organisation, efficiency, and layout optimisation.
Skills & Attributes:
* Minimum of 1 years' experience in a similar role.
* Strong organisational skills and attention to detail.
* Good communication skills with both suppliers and internal teams.
* Ability to manage multiple priorities and work under pressure.
* Familiarity with ERP or inventory management systems (Emax) is an advantage.
* Proactive, flexible, and able to work independently and as part of a team.
* Commitment to safety, compliance, and continuous improvement.
* Understanding of pharmaceutical industry standards, especially around compliance and validation.
