Overview
Executive Assistant to the CEO (Part-Time) – Based in Dublin 1. We are seeking an experienced and highly organised Executive Assistant to support the Chief Executive of a well-known charity. This part-time position is ideal for someone who can manage a busy schedule, handle sensitive information, and act as a trusted advisor. You will be the central point of contact for the CEO, helping to manage their diary, coordinate key meetings and handle a variety of administrative and communication tasks.
The successful candidate will be adaptable, a proactive problem-solver with strong attention to detail and excellent communication skills.
Key Responsibilities
* Organise the CEO’s schedule and coordinate meetings, including preparing agendas, papers and minutes for management, Board and AGM meetings.
* Manage the CEO's task list, prepare presentations and papers, handle travel arrangements, and process expense claims. Assist with general office administration to ensure things run smoothly.
* Coordinate the CEO's travel arrangements and event planning; oversee documentation for credit card expenditure and prepare expense claims.
* Book hotel accommodations, organise and manage the CEO's physical and electronic files.
* Assist the CEO with all incoming and outgoing correspondence via phone, email or written communication.
* Liaise with staff and stakeholders to facilitate communication with the CEO and prepare internal communications such as quarterly staff newsletters.
* Support external networking and proactively keep the CEO informed of important issues.
* Assist with administration of various project work as required.
What You’ll Bring (Qualifications)
* 3-5 years of experience in an Executive Assistant position.
* Exceptional organisational skills and time management.
* Ability to work independently and as part of a team.
* Strong proficiency in MS Office (Outlook, Excel, Word, PowerPoint) and SharePoint.
* Respectful and confidential approach to sensitive information.
* Part-time role: 21 hours per week (3 days per week). Flexibility on days and times to be agreed; some Board meetings (~6 per year) may require accommodation.
* Based in Dublin 1.
