Receptionist/Administrator Job Description
The ideal candidate will provide exceptional support to our Castlebar office team, ensuring seamless day-to-day operations and delivering a professional reception service.
* Manage incoming phone calls, screening and forwarding as necessary to ensure timely communication with clients and staff.
* Welcome visitors and clients in a warm and courteous manner, making them feel valued and respected.
* Maintain a clean and welcoming reception area, reflecting positively on our organization's image.
* Coordinate meeting rooms and catering arrangements to facilitate efficient meetings and events.
* Utilize DocuWare to efficiently scan and manage incoming and outgoing post.
* Cultivate effective relationships with colleagues, clients, and suppliers through active collaboration and clear communication.
* Administer client correspondence, including emails, letters, and packages, ensuring prompt and professional handling.
* Perform various administrative tasks such as data entry, filing, scanning, and photocopying to maintain organized systems.
* Monitor and send reminders for key statutory filing deadlines to prevent delays.
* Support multiple teams and partners during meetings, providing essential assistance and coordination.
* Manage office supplies, refreshments, and equipment to maintain optimal operational efficiency.
Required Skills and Qualifications
* Prior experience working in a reception or office environment is highly desirable.
* A background in a professional services setting would be advantageous.
* Excellent communication and interpersonal skills are essential for success in this role.
* Working knowledge of the MS Office suite and Zoom is required for efficient collaboration and task management.
