Role Overview:

The
Group Office Payroll & Expenses Manager
will play a pivotal role within the Group Office function, leading the monthly payroll process for c165 staff on our Irish payroll and liaising with our UK payroll partners for 35 UK based employees. As a global operating Group, we also have several international employees whose payroll is administered divisionally, overseen by the Group Office Payroll & Expenses Manager. Included in the responsibilities of this role is the review and processing of expense claims as well as managing compliance with Revenue and ERR reporting. This role works closely with our HR function to ensure the seamless management of all employee related processes including but not limited to onboarding/offboarding, headcount analysis, CSRD reporting, share scheme administration and healthcare.

This is a high-visibility role, interfacing with senior stakeholders and supporting strategic initiatives, including AI and digital finance transformation. The successful candidate will be involved with the selection and implementation of a new HR/Payroll system offering the exciting opportunity to create a best-in-class HR/Payroll function with improved efficiencies and controls.

Key Responsibilities:

Payroll Processing

* Oversee the end-to-end monthly payroll for all Group Office employees in Ireland.
* Ensure timely and accurate submission of payroll data to our third-party UK payroll provider.
* Set up all monthly salary payments and liaise with the bank to ensure all payments are processed.
* Manage and process employee benefits such as pensions, BIK (benefit-in-kind), bonuses, and share schemes.
* Prepare payroll journals for upload into ERP system.
* Receive and reconcile non-Irish/UK payroll recharges.

Expenses Management

* Manage and review employee expense submissions for accuracy and policy compliance.
* Ensure timely reimbursement of approved expenses.
* Monitor and enhance the company's travel and expense policy.
* Prepare uploads from expenses platform SAP Concur to SAP ERP system and ensure accurate general ledger coding.

Revenue/HMRC

* Ensure compliance with Revenue/HMRC guidelines and statutory deadlines.
* File payroll submissions in line with Real Time Reporting (RTR) requirements via Revenue Online Service (ROS).
* Manage any benefits received under the small benefit exemption scheme.
* Ensure compliance with Revenue ERR reporting requirements.

Cost Management & Analysis

* Prepare monthly employee cost reports and reconcile to forecasts.
* Deliver insights on expenses being incurred and identify cost saving opportunities.
* Analyse and report on employee travel bookings through our third-party travel partner.
* Maintain a financial controls environment compliant with the Group Accounting Manual and readiness for audits by internal and external audit.
* Prepare monthly headcount reports.
* Prepare and submit all CSO reports.

Record keeping and Systems management

· Coordinate with HR to maintain up-to-date employee records.

· Manage the onboarding/offboarding process of employees including profile and workflow set up for;

o SAP Concur Expense Management

o SAP Concur Invoice Management

o Third party travel system

AI and Digital Finance Transformation

* Co-ordinate with HR to identify a suitable HR/Payroll system solution.
* Engage with Group Office Finance and IT to implement the identified system solution.
* Investigate and lead opportunities to deploy AI and automation solutions within payroll processes (e.g., intelligent journal creation, reporting automation).

Qualifications & Experience:

* 5+ years of experience in payroll processing, preferably in a multinational or complex organisation.
* Good understanding of accounting principles to be able to effectively account for all employee related costs.
* IPASS qualification (or similar) required.
* Strong knowledge of Irish and UK payroll legislation, taxes, and Revenue/HMRC filing requirements.
* Experience managing employee expenses and Revenue ERR reporting.
* Previous experience using payroll software (e.g., Sage Micropay, CoreHR, BrightPay) and expense management tools (e.g., Concur, Expensify, Continia).
* Experience in ERP systems (e.g., SAP, Dynamics 365).
* Proficiency in Microsoft excel and other finance tools.
* Comfortable working in a fast-paced, dynamic, and evolving environment.

Key Competencies:

* High attention to detail and accuracy.
* Expert knowledge of Uk and Ireland payroll processing.
* Comfortable with creating and posting accounting journals.
* Experience with international payrolls is a plus.
* Excellent interpersonal and communication skills.
* Ability to handle confidential information with integrity.
* Problem-solving mindset and proactive approach.
