HR Admin/Recruitment Admin

Responsibilities:
* Responding to Emails and Calls: Addressing inquiries regarding job openings, application status, benefits, and HR policies. Providing timely responses to candidate questions and concerns. Directing inquiries to the appropriate HR personnel or department if needed.
* Scheduling Interviews: Coordinating interview schedules between candidates and hiring managers. Booking interview rooms or arranging video conferencing facilities. Sending calendar invitations and reminders to participants.
* Screening Resumes: Reviewing resumes for job relevancy, skills, and experience. Updating candidate status in the applicant tracking system. Collaborating with hiring managers to refine selection criteria.
* Posting Job Openings: Creating and editing job postings based on input from hiring managers. Publishing job vacancies on various platforms. Ensuring consistency in job descriptions across different platforms.
* Conducting Pre-Employment Checks: Verifying employment history, education credentials, and professional licenses. Conducting background checks and reference checks.
* Updating HRIS: Inputting new hire information into the HRIS system. Recording employee changes such as promotions, transfers, or terminations. Generating reports on employee demographics and turnover rates.
* Preparing Offer Letters: Drafting personalised offer letters for selected candidates.
* Onboarding Assistance: Assisting new hires with completion of onboarding paperwork. Providing orientation materials and resources. Coordinating training sessions and introductions to key team members.
* Maintaining Recruitment Metrics: Tracking key performance indicators (KPIs) such as time-to-fill, cost-per-hire, and applicant conversion rates. Analysing recruitment data to identify trends and areas for improvement.
* Interview Coordination: Coordinating interviews rounds for candidates. Communicating interview schedules and coordination to all stakeholders.
* Reviewing Recruitment Pipeline: Monitoring the progress of candidates through the recruitment process. Providing regular updates to hiring managers on candidate status.
* Updating Recruitment Reports: Compiling data on recruitment activities. Generating reports for HR management and leadership team.
* Employee Accommodation: Generating reports on available accommodation. Reviewing and updating database on employee units.
* Employee Recognition Programs: Planning and implementing employee recognition programs.
* Compliance Audits: Reviewing HR files and records for accuracy and completeness.
* Employee Feedback: Distributing employee surveys.
* Benefits Enrolment: Assisting employees with benefits enrolment or changes.
Qualifications:
* Human Resources Qualification preferred.
* Prior experience in HR administration or recruitment coordination.
* Proficiency in MS Office and HRIS systems.
* Excellent communication and organisational skills.
* Ability to multitask and prioritise in a fast-paced environment.
