We are looking for an organised, detail-driven Back Office Administrator
Remote/ Hybrid / Ireland, Germany, Portugal (Europe)
Full-time (40hours)
What You'll Do:
* Project invoicing
: Create, issue, and track customer invoices for ongoing projects.
* Billing Accuracy:
Coordinate with project managers and customers to ensure billing accuracy and timely payments.
* Payroll Support:
Prepare payroll data, update employee records, and coordinate with our payroll office for timely processing.
* HR Admin:
Draft and manage employment contracts, track leave balances, and keep personnel files up to date
* Purchasing:
Handle procurement of laptops, software, and office supplies for new and existing team members
* Onboarding:
Organise smooth new-hire onboarding — from paperwork to equipment setup — ensuring a great first-day experience
* General Admin:
Assist with other back-office tasks as needed and make sure nothing falls through the cracks.
* Documentation:
Keep our data, documents, and records in top shape
* Communication:
Collaborate with customers, vendors, partners, and teammates to ensure projects progress smoothly.
* Event organisation:
Organise our annual team event in Europe
* Flexibility:
Jump in where needed
What We're Looking For:
* Profund experience in admin, operations, accounting/ finance or a similar role.
* You're detail-obsessed, organized, have an eye for numbers and love a good spreadsheet.
* Strong communication skills — you're clear, friendly, and proactive.
* Comfortable with tools like Google Workspace, Excel, and (bonus) CRM or ERP systems (XERO, or similar)
* A self-starter who can prioritise tasks and make things happen.
