Showjumping Office Manager

My client is seeking a a highly organised, detail-oriented Showjumping Office Manager to oversee the administrative and logistical operations of a competitive showjumping yard. This role is pivotal in ensuring the smooth coordination of horse show entries, travel arrangements, employee scheduling, and stable management systems. The ideal candidate is passionate about the equestrian industry, thrives in a fast-paced environment, and can manage multiple priorities with professionalism and discretion.
Their offices are based in the South Central area of Ireland.
Key Responsibilities:
Administrative & Office Management
1. Manage all day-to-day administrative operations for the showjumping business.
2. Handle scheduling, invoicing, and record keeping.
3. Maintain horse records including vaccinations, passports, FEI registrations, health papers, and insurance documentation.
4. Coordinate employee rosters, payroll submissions, and HR paperwork as needed.
5. Maintain databases and digital filing systems for horses, and competitions.
6. Process orders for equipment, shavings, feed.
7. Assist with new starters – coordinate their arrival to the farm.
8. Coordinate with the Housing Manager to organise housing for new employees.
9. Liaise with Health & Safety Manager to ensure training is up to date.
10. Uniform Management.
Show & Travel Coordination
11. Manage show entries (national and international), including FEI/USEF/BS schedules, deadlines, and paperwork.
12. Coordinate logistics for horses, riders, and employees — including stabling, transportation, accommodation, and travel itineraries.
13. Prepare and manage competition schedules, start lists, and results tracking.
14. Liaise with show organisers, veterinarians, farriers, and shipping agents.
Financial Administration
15. Track expenses, receipts, and budgets for show and travel costs.
16. Support management with reporting, budgeting, and expense reconciliation.
Communication & Liaison
17. Serve as the central communication point for employees.
18. Provide updates, including competition reports, photos, and media when appropriate.
19. Represent the business professionally in all industry interactions.
Qualifications & Skills:
20. Prior experience in a showjumping or equestrian business management role preferred.
21. Strong understanding of national and international showjumping competition structures (USEF, FEI, BS, etc.).
22. Excellent organisational and multitasking skills.
23. Strong communication, writing, and interpersonal abilities.
24. Proficient in Microsoft Office, Google Workspace, and equestrian-specific management software.
25. Financial literacy (basic bookkeeping, invoicing, expense tracking).
26. Ability to work flexible hours during busy season.
27. Passion for horses and the sport of showjumping.
28. Full driving licence required.
29. Must have permission to work in Ireland
Working Conditions:
This is an office based role with occasional travel to shows or yard sites. We are a busy set up, fast paced, dynamic environment requiring adaptability and problem-solving. The role may include evening or weekend work during busy periods.
