We have an exciting opportunity in our Cork-based global medical manufacturing client.
Roles and Responsibilities
* Provide cross-functional administrative support for key business initiatives as required by the Operations Director.
* Manage calendars, book travel, arrange visas and taxis, and prepare travel itineraries.
* Manage the Operations Director's calendar and priorities, craft, evaluate, and modify emails, letters, agendas, and other communications.
* Maintain operational reports, data gathering, and visualization.
* Prepare and share internal communications.
* Support the Executive Assistant at the Cork Campus.
* Provide logistical support for internal and external events.
* Organize events and travel arrangements for global stakeholders.
* Process expenses in line with company policy.
* Administer Core T&A for global team members.
* Prepare DHL documentation for shipments.
* Manage multiple priorities and provide ad-hoc project support.
* Build strong relationships with the administrative team and key stakeholders.
* Handle sensitive business information discreetly, including raising purchase orders.
* Support site project groups, e.g., Women’s Network and CSR initiatives.
* Prepare presentation materials, produce reports, and maintain files and documents.
* Support front-of-house activities during annual leave cover.
Principal Qualifications
Alongside experience in a similar role, you should demonstrate:
* Proven experience assisting senior leaders and working with diverse teams.
* Proficiency with Microsoft Office tools: Outlook, Teams, PowerPoint, Excel.
* Knowledge of Smartsheet is desirable but not essential.
* Strong self-management, organizational skills, and excellent communication skills in English (oral and written).
* High attention to detail, including spelling, grammar, and formatting.
* Experience managing a busy workload with complex priorities, working to deadlines under pressure.
* Knowledge or interest in Lean methods and standard work, with a proactive approach to continuous improvement.
* Ability to foster close working relationships.
* Capability to handle highly confidential information securely.
This role reports to the Operations Director and is based at our Cork campus.
