Receptionist / Administrative Assistant
Overview
The role provides reception and administrative support, ensuring a professional and organized front-office environment and assisting with project administration and office operations.
Responsibilities
* Receiving visitors, greeting, welcoming, directing and announcing them appropriately.
* Perform reception duties during opening hours and deliver a professional service.
* Maintain an enjoyable and clean working environment.
* Order and maintain stationery and equipment; locate best prices for stationery, canteen supplies and janitorial equipment; approve invoices relating to stationery and equipment ordered.
* Set up contractor meetings as requested and compile meeting schedules.
* Update Staff Contact Listings (phone numbers/emails).
* Assist with requested project administration (e.g., valve charts / checklists).
* Handle site requests (stationery, stickers, PPE, etc.).
* Ensure Office Health & Safety documentation (Fire register, emergency procedures, sign in/out register, QHSE policies) is current and displayed.
* Assist Projects and offices with IT equipment/software issues with IT company.
* Assist with ad hoc requests from Directors/Head Office staff.
* Quality Health Safety & Environmental Management:
o Management of Sub-Contractor and Supplier Database
o Maintenance of the Training Matrix
o Compiling Job Site Folders
o Management of Calibration Register; liaising with calibration company/site to arrange new calibration
o Management of weekly on-hire register; collating weekly listings and following up errors
o Liaising with site to ensure equipment is still needed and setting return dates
o Ordering and maintaining PPE Register
o Management of the Vehicle Register
o Liaising with Director of Finance on driver/vehicle amendments
o Booking car services / CVRTs / valets
o General administration
