Maintenance Administrator (Maternity cover but may lead to permanent position) Role Overview: The Maintenance Administrator is pivotal in ensuring the seamless operation of maintenance activities, acting as the central liaison between clients, maintenance teams, and internal stakeholders. Salary: Starting at €34,000 based on experience. Key Responsibilities Client Interaction & Communication Respond promptly to inbound maintenance inquiries via phone and email, providing clear and professional communication. Serve as the primary point of contact for clients, addressing concerns and providing updates on maintenance progress. CRM Management & Data Entry Accurately create and update maintenance records within the organization's CRM system, ensuring data integrity and accessibility. Monitor and track the status of maintenance requests, ensuring timely resolution and client satisfaction. Scheduling & Coordination Collaborate with landlords, tenants, and portfolio managers to schedule maintenance tasks, minimizing disruption and ensuring convenience. Work closely with the scheduling team to allocate resources effectively and adhere to established timelines. Coordinate with subcontractors and internal staff to ensure the availability of necessary personnel and equipment. Documentation & Reporting Maintain comprehensive records of all maintenance activities, including job details, completion status, and associated costs. Generate and distribute completion reports to clients, summarizing work performed and any recommendations for future maintenance. Quality Assurance & Compliance Monitor the quality of work performed, ensuring adherence to company standards and client expectations. Assist in the procurement of materials and services, obtaining quotes and managing supplier relationships. Ensure that all maintenance activities comply with relevant legislation and organizational policies. Continuous Improvement Identify opportunities for process improvements to enhance efficiency and client satisfaction. Collaborate with team members to implement best practices and streamline maintenance operations. Essential Skills & Qualifications Experience: Minimum of 2 years in a maintenance administration or facilities management role. Technical Proficiency: Familiarity with CRM systems and maintenance management software.
