Job Description

We are seeking an Office Coordinator as the primary person responsible for the overall management of our Cork office. This multifaceted role covers several areas:

* Welcoming, screening and managing all inbound visitors, ensuring strict physical office security policies and procedures.
* Managing regular office supplies, including food/drink and stationery.
* Collaborating with suppliers to manage order volumes and receive/check incoming deliveries.
* Collaborating directly with external contractors/suppliers to ensure all office cleaning, repairs and building maintenance needs are addressed.
* Managing recurring office maintenance inspections, including elevator, fire equipment and backup generator.
* Receiving quotations/invoices from suppliers, raising purchase requests, and liaising with finance/global facilities teams for office operational/capital expenditure.
* Managing office expense reports/receipts, including petty cash.
* Routine weekly tasks such as filling drink fridges/refilling coffee and tidying kitchens/cafe spaces.

In addition to these responsibilities, you will also be assisting coordinator tasks for our Security Operations Centre (SOC) team in Ireland, providing executive assistant support to local Cork leadership, and performing other duties relevant to the position.


Key Responsibilities

1. Coordinate office activities, ensuring smooth day-to-day operations.
2. Manage supplier relationships, sourcing materials/equipment required for office operations.
3. Liaise with contractors/suppliers to address office maintenance/repair needs.
4. Oversee office inventory, ordering supplies and monitoring stock levels.
5. Process financial transactions, preparing quotes/invoices for payment.
6. Provide administrative support to senior leadership, coordinating travel arrangements and schedules.
