This is a unique opportunity to work at the intersection of social innovation and technology, coordinating multiple concurrent events that will bring together social enterprises, technology experts, corporate partners, and stakeholders from across Ireland's innovation ecosystem.Over the 2.5-year contract period, you will be responsible for the end-to-end coordination of diverse event formats including large-scale in-person workshops (up to 100 attendees), online workshops and webinars participants), and intimate concentrated sessions (10 participants). During peak periods, you will manage 10-15 events running concurrently over 2-month cycles, requiring exceptional organisational skills and the ability to juggle multiple priorities simultaneously.This role sits within the Business Development and Marketing team and works closely with the Project Management team and Fund Manager responsible for overall fund delivery.Key ResponsibilitiesEvent Planning & DeliveryCoordinate end-to-end delivery of AI for Good Fund events across multiple formats (in-person workshops, webinars, concentrated sessions, showcases)Source and manage venue selection, booking, and logistics for in-person events throughout IrelandManage online event platforms and technical infrastructure for virtual and hybrid eventsCoordinate registration processes, attendee communications, and participant experience from initial invite through post-event follow-upDevelop detailed project plans and timelines for concurrent event delivery, managing dependencies and critical pathsEnsure all events align with brand standards and deliver exceptional attendee experienceContent Creation, Coordination & Stakeholder ManagementWork closely with subject matter experts to develop and coordinate learning contentFacilitate content planning sessions and pull together materials from multiple contributorsCoordinate speakers, panelists, and facilitators, ensuring they have briefings and materials neededManage relationships with corporate partners, awardees, technology sector partners, and other key stakeholdersAct as primary point of contact for event-related queries and logisticsCapture content at each event (video, photo) as per pre-shared briefing document to be developed with Rethink Ireland Communications teamBudget & Supplier ManagementManage event budgets and track expenditure against approved allocationsSource, contract, and manage relationships with suppliers (venues, catering, AV, printing, etc.)Process supplier invoices and coordinate payments in accordance with organisational proceduresMaintain accurate financial records and reporting for all eventsPrepare budget proposals and recommendations for approval by Business Development DirectorProject & Systems ManagementMaintain comprehensive event tracking and project management systems (Asana or similar)Content Management System (CMS)– maintain and update a CMS on a regular basisUpdate Salesforce or equivalent CRM with event data, attendance, and stakeholder engagementGenerate reports on event delivery, attendance, feedback, and impact metricsMaintain organised filing systems for all event documentation, contracts, and materialsSupport continuous improvement of event processes and systemsCollaboration & SupportWork closely with Business Development and Project Management teams on integrated deliveryContribute to team meetings and organisational planning processesTravel throughout Ireland for events as requiredCarry out any other reasonable duties as required, consistent with the level and purpose of the roleRequired Skills & ExperienceExperience & KnowledgeMinimum 2-3 years' experience in events coordination and project managementDemonstrated experience managing multiple concurrent eventsExperience coordinating both in-person and online/virtual eventsExperience generating resources and materials to develop skills and knowledge (learning content).Working knowledge of AI fundamentals and emerging technology (does not need to be expert-level)Corporate events background preferredStrong cultural and mission fit with the charity/nonprofit sectorTechnical SkillsExcellent project management skills with demonstrated experience using project management tools (Asana, Jira, or similar)Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with Salesforce or other CRM systemsFamiliarity with online event platforms and registration tools such as EventbriteSocial Media competency – LinkedIn (Required) ,Instagram, TikTok, Meta,Working knowledge of Canva and Capcut or other design and video editing packagesCore CompetenciesExceptional organisational skills with ability to manage
