Turner & Townsend and CBRE work together to provide clients with the premier programme, project and cost management offering in markets around the world.Please visit our website: Job DescriptionThe Executive Assistant will coordinate project executive duties and provide general administrative support to the Directorate Team working on the major infrastructure project.The role includes the following duties:Building and maintaining strong relationships with key stakeholdersManage professional and personal scheduling for the Directors including agendas, mails, emails, phone calls, client management and other logisticsCoordinate complex scheduling and calendar management, as well as content and flow of information to senior executivesPlan and orchestrate work to ensure that senior executives priorities are metPreparation of presentations and reportsOrganising meetings and workshopsScreening and prioritisation of emails of Project DirectorMeeting and greeting visitors at all levels of seniorityTaking meeting minutesHandling enquiries and requestsPreparing of lettersScreening telephone callsTaking messages and following upAssisting with travel arrangementsImplementing and maintaining procedures and administrative systemsPrinting, copying and filingSetting up of purchase ordersLiaising with staff from other departmentsOther duties and responsibilities appropriate to the positionQualificationsSkills and Qualifications:A minimum of 10 years' proven experience as an Executive Assistant or in a comparable high-level support role, demonstrating exceptional organizational, communication, and strategic coordination skills.Knowledge and awareness of the importance of being a representative for the major Rail proejctExcellent verbal and written communication skillsAttention to detailSkill in preparation and compilation of reportsSkill in preparation and compilation of presentationsExperience of working in a role where discretion and confidentiality are essentialExperience of working with diverse teamsAbility to work on own initiative, with multitasking capabilitiesAbility to work to tight deadlines and prioritise tasks effectivelyStrong interpersonal skills - ability to motivate othersExperience of undertaking and effectively managing a significant workloadAdvanced Microsoft Office and SharePoint knowledge and experienceAdditional InformationWhat we offer you:Full time, permanentCompetitive remuneration and attractive range of benefits8% Pension25 days Annual leave (23 days + 2 company days)Opportunity to work on impactful and innovative projectsCareer development opportunities both in Ireland and globallyOpportunity to work with a diverse group of talented and collaborative colleaguesOur inspired people share our vision and mission.
