Legal secretaries are crucial to the smooth operation of law firms.
Main Duties
* Prepare and send daily invoices with accurate details for narratives and cover letters.
* Liaise with clients regarding invoicing requests, investigate, and respond as necessary.
* Enter time entries in a timesheet system for allocated fee earners (associates/partners).
* Manage team and Outlook calendars, coordinate conference calls, book meeting rooms, and arrange AV services.
* Organize travel arrangements, complete travel and expense reports.
* Manage the process for opening new matters, including letter of engagement and CDD checks.
* Prepare new matter reports, update client/matter codes, and complete legal forms.
* Prepare and draft legal documents, including comments, red lines, and redactions.
* Handle written and electronic correspondence, organize materials for clients, and maintain professional development records.
* Create and update comprehensive contact information using best practices.
* Self-manage and update various systems, including Service Now and WorkDay.
Requirements
* Fluent English language skills.
* 65wpm typing speed and proficiency in Microsoft Office applications.
* Excellent interpersonal and organizational skills.
* Ability to maintain confidential information.
* High attention to detail and ability to multitask.
* Ability to prioritize tasks, meet deadlines, and learn new skills.
