Health, Safety and Environment are at the forefront when planning and carrying out all work activities.Job Summary: Procurement and Planning OfficerReporting to the Head of Supply Chain. This is a key position to own & manage procurement activities and planning processes to ensure timely and cost-effective acquisition of goods and services, supporting operational efficiency and strategic goals in a centralised business unit supporting our multi location depot and operational team.Responsibilities:Planning:Overall responsibility for the centralised end to end planning for the supply chain function.Requisition and maintain inventories of materials or supplies necessary to meet operational demands.Review project commitments and schedules for operations units' specific programs, or jobs, using forecasts to estimate and plan material requirements.Provide documentation and information to internal teams for delays, difficulties, or changes to cost estimates.Calculate costs of goods or services.Collaborate with internal departments and systems to forecast demand and plan inventory levels.Monitor stock levels and coordinate replenishment to avoid shortages or excess.Analyse data to improve procurement and planning efficiency.Support budgeting and financial planning related to procurement activities.Procurement:Overall responsibility for the centralised procurement for supply chain.Working with Head Of Supply Chain to ensure the consistent, measured, supply of goods and services across depot, project, and maintenance business requirements.Track the status of requisitions, contracts, and orders.Prepare purchase orders and send copies to suppliers and to departments originating requests. Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers.Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.Contact suppliers to verify shipment details & lead times.Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.Develop and implement procurement strategies aligned with organizational objectives.Source suppliers, negotiate contracts, and manage supplier relationships.Ensure compliance with procurement policies, procedures, and relevant legislation.Monitor market trends and identify opportunities for cost savings.Maintain and report accurate records of purchases, pricing, and supplier performance.Supplier relationship management:Developing and drive constructive and cooperative working relationships with suppliers and maintaining them over time.Measuring and conducting vendor performance reviews.Building strategic supplier partnershipsNegotiation:Negotiate pricing with vendors for the production or purchase of materials/services.Reporting & SLA/KPI Management:Supply reporting to Head of Supply Chain and internal peer groups.KPI and SLA performance review and reporting for suppliers' performance, material issues, project planning success rates.The above statements are intended to describe the essential responsibility of the person assigned to this role.
