About the Company
Our client is a well-established and growing food manufacturing business based in South West Dublin, supplying high-quality products to large retailers in Ireland. As the business continues to scale, we are seeking a highly organized and proactive Office Manager / Executive Assistant to support the CEO and wider management team.
The Role
This is a key, trusted position within the business, combining Office Management responsibilities with Executive Assistant support to the CEO. The successful candidate will play a central role in ensuring the smooth day-to-day running of the office while providing administrative, organizational, and coordination support across multiple functions.
Key Responsibilities
Executive & Management Support
* Provide direct administrative and organizational support to the CEO
* Manage calendars, meetings, agendas, and follow-ups
* Prepare reports, presentations, and business documentation
* Act as a key point of contact between the CEO, management team, and external stakeholders
Office Management
* Oversee the day-to-day running of the office
* Maintain office systems, processes, and records
* Coordinate suppliers, service providers, and office resources
HR Administration
* Support the management team with HR-related administration
* Assist with onboarding and offboarding of employees
* Maintain employee records, contracts, and HR documentation
* Support recruitment administration where required
Contracts, Tenders & Documentation
* Manage administrative aspects of contracts and customer/supplier documentation
* Support tender submissions, including document preparation and coordination
* Maintain accurate and up-to-date records for audits and compliance
Reporting & Administration
* Assist with internal reporting and documentation across departments
* Ensure accurate filing, version control, and document management
* Support ad hoc administrative projects as the business grows
About You
* Proven experience as an Office Manager, Executive Assistant, or similar senior administrative role
* Strong organizational skills with excellent attention to detail
* Confident supporting senior leadership in a fast-paced environment
* Experience with HR administration and confidential documentation
* Comfortable preparing reports, managing documentation, and coordinating multiple priorities
* Proficiency in MS Office Suite and office management software tools
* Excellent communication skills, both written and verbal
* Ability to maintain confidentiality and discretion
* Proactive, flexible, and able to work independently
