Job Purpose
The Operations Administrator provides essential administrative support to ensure the smooth and efficient functioning of the operations team. This role is responsible for coordinating daily business activities, maintaining records, managing communications, and assisting with process improvements. The Operations Administrator plays a key role in ensuring compliance with company policies and supporting overall operational effectiveness.
Role And Responsibilities
* Provide administrative support to the operations team, including scheduling meetings, preparing reports, and managing correspondence.
* Maintain accurate records, databases, and documentation related to operational processes.
* Assist with procurement activities, including processing purchase orders.
* Monitor and track key operational metrics, ensuring data accuracy and reporting findings to management.
* Support compliance with company policies, health & safety regulations, and HIQA standards.
* Coordinate day-to-day operational tasks, ensuring smooth workflows and efficient processes
* Liaise with internal departments to resolve operational issues.
* Handle general inquiries from employees, managers and vendors in a professional and timely manner.
* Assist with process improvements and the implementation of operational efficiencies.
* Facilitate communication between different departments to ensure alignment on operational goals and strategies.
* Assisting in developing project task plans and follow-up actions.
* Ensure all work undertaken complies with data protection, and GDPR and rules.
* Contribute to the promotion of equality of opportunity, anti-discriminatory practice, diversity, individual rights and choice in all aspects of work.
* Undertake such other duties as might be reasonably assigned from time to time by the your manager
* Be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of your manager
Key Skills & Competencies
* Strong organisational and time-management skills.
* Excellent communication skills, both written and verbal.
* Attention to detail with the ability to handle multiple tasks efficiently.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
* Ability to work independently and as part of a team in a fast-paced environment.
* Problem-solving skills and a proactive approach to administrative tasks.
* Self-motivated, effective team member with the ability to work on his/her own initiative. Ability to prioritise work and meet deadlines, while producing work to a high standard
Qualifications & Experience
* Previous experience in an administrative or operations support role.
* Experience with data management and reporting is desirable.
* Knowledge of business operations, procurement, or supply chain processes is an advantage.
* A degree or qualification in business administration, operations management, or a related field is preferred but not essential.
Working Conditions
* Office-based role.
* May involve occasional travel for meetings.
