About The Role
Nicholas O'Dwyer (NOD) is seeking an experienced and highly organised
Office Manager
to oversee the smooth and efficient running of our office environment. This is a key role supporting the People & Culture and Operations functions, ensuring that our teams, clients, and visitors experience a professional, well-coordinated, and welcoming environment.
The
Office Manager
will be responsible for office administration, facilities coordination, supplier management, employee onboarding/off-boarding support, and day-to-day operational activities that contribute to the effective running of the business. This role is ideal for someone with strong organisational skills, excellent communication abilities, and a proactive, solutions-focused mindset.
Main Duties And Responsibilities
Below represents the core responsibilities of this role; this is by no means an exhaustive list:
* As the Office Manager you will be responsible for leading and developing the Support Admin team, promoting continuous improvement and performances through ensuring clear responsibilities, process evolution, effective workload management, regular check-in's etc.
* You will act at the main contact of administration related to Company Registrations and Company Secretarial requirements.
* You will assist with preparation of documents, reports, presentations, and correspondence as required in accordance with company standard templates and business needs.
* Responsible for timely processing of Purchase Orders, supplier invoices, and maintain budget tracking records.
* You will support the HR/Recruitment team to ensure an efficient and seamless onboarding experience for new hires and support with induction activities.
* Responsible for maintaining inventory records and timely ordering/preparation of equipment for new hires pre-onboarding, also for existing employees and recovery of inventory from off-boarding employees.
* You will be responsible for the efficient management of office supplies, stationary, office furniture, PPE equipment etc. as required.
* Responsible for liaising with and overseeing building management and maintenance vendors, cleaning vendors etc. to ensure quality of standard in routine building maintenance.
* You will oversee the daily office operations, such as management and set-up of meeting rooms, arranging meetings and lunches as required.
* Responsible for the coordination of post/couriers/deliveries to and from the office; or other and logistical requirements.
* Ensure compliance with Health & Safety, GDPR, and company policies across the office environment.
* Maintaining a culture of continuous improvements across all aspects of the working environment and projects.
* Training will be provided to fulfil the requirements of your role, your participation to all essential training will be required.
* To ensure maximum flexibility and to reflect the Company's evolving needs, additional tasks and responsibilities will form part of this role as it evolves.
* Occasional travel may be required with the role.
Knowledge, Skills And Experience Required
* Minimum 3–5 years' experience in an Office Manager, Facilities Coordinator, Senior Administrator, or similar role.
* Competent leadership and people management capabilities key with previous success of developing team members.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Experience in a consultancy, engineering, or professional services environment is an advantage.
* Familiarity with procurement, facilities coordination, and vendor management.
* Excellent organisational and multitasking skills, with strong attention to detail.
* Confident communicator with the ability to build relationships across the organisation.
* High level of professionalism, discretion, and confidentiality.
* Proactive, solution-oriented approach with a "can-do" attitude.
* Ability to remain calm and resourceful in a fast-paced environment.
* Strong problem-solving skills with the ability to handle unexpected challenges
