Summary of Role
The key objective of the role of the Patient Coordinator is to operate as a key part of a multidisciplinary IVF Clinic team to provide excellent patient care and service for all individuals and couples embarking on their fertility journey.
The Patient Coordinators will report directly to the administration supervisor. This role is a key point of contact for all Sims IVF patients/clients and as such acts as an ambassador for the Sims Group. The role holder is responsible for optimising clients/patients' satisfaction through the efficient operation of Patient Co-Ordinator administrative functions at Sims IVF.
Key Duties/Responsibilities (to include the following)
Reception
* Meeting and Greeting Patients
* Patient Check- in
* Providing support to patients with clinic information and other required data
* Contacting, ordering, and dealing with suppliers.
* Booking couriers/taxis
* Invoicing for bloods/investigations
Administration
* Admissions – Processing new patients
* Scheduling Consultation Appointments
* Invoicing and receiving payments.
* Answering queries through Patient App, phone, or e-mail
* Directing calls where necessary
* Responding to website submissions
* Posting Information packs to patients
* Liaising with Doctors, medical secretaries, and hospitals
* Dictating correspondence
* Process "IDEAS" system orders relevant to admin team,
* Day to Day compliance with Quality non-conformance process, Data Entry
* Accurate and timely updating and maintenance of patient files, databases, and Q Pulse
* Ensuring the maintenance and timely update on the HSE portal for publicly funded patients
* Oncology services including liaising with hospitals/oncology patients and processing of appointments as required

* Competent in providing clear and concise information to patients by telephone.

Essential Criteria
* Education: 3rd level Qualification / PLC
* Minimum of 2 years' previous experience working with clients/patients working as a key part of an administration or client-support team in the private/public sector
* Fluency in English language – Advanced level - written and oral.
Desirable
* Previous experience working in a healthcare environment.
Terms and Conditions of Employment
* Contract: Permanent
* Location: Clonskeagh
* Working days: Monday to Friday
* Working Hours 37.5 hours per week (7.5-hour day)
* (Shift patterns once training fully complete, include 7am-3pm/8am-4pm subject to operational requirements of the Department and Clinic)
* Salary Scale - DOE.
