The Guest Experience Coordinator will serve as the central point of contact for all VIP guest communications and will support the Guest Experience team in overseeing the Guest Relations Call Centre (Switchboard). This key role ensures that each of our VIG (Very Important Guests) receives a truly exceptional and personalised experience during their stay.Key ResponsibilitiesBefore ArrivalAssist guests with planning their itinerary, ensuring all preferences are accurately recorded and communicated to relevant teams.Gather detailed information on incoming guests to facilitate the creation of bespoke experiences through our Butler Team.Manage communications relating to incoming VIG guests via phone and email.Ensure all pre-arrival preparation and calling requirements for guests are fully completed.Compile weekly departmental reports and prepare the weekly VIG Guest Pack for distribution across the resort.During the StaySupport Guest Experience Executives and Butlers in delivering tailored service to each guest.Ensure all guest requests are clearly noted, communicated, and actioned by the relevant operational teams.Liaise daily with Butlers and Guest Experience Executives to ensure seamless coordination of guest preferences and itineraries.Maintain up-to-date information on activities, special events, brochures, and local tourism offerings, and distribute updates to the wider team.Administrative & Resort SupportProvide administrative support for special Resort events such as Christmas, Easter, Valentine's Day, and other seasonal occasions.Coordinate internal communications regarding VIP arrivals and distribute guest updates to relevant departments.Support the Director of Guest Experience and management team with administrative tasks, ensuring timely completion.Maintain an organised archive of guest preferences and documentation to enhance future visits.Upon DepartureUpdate and maintain guest preference records to ensure continuity for future stays.Assist in ensuring all closing documentation, requests, and follow-up actions are completed to the highest standard.About YouOur Guest Experience Coordinator must possess:A warm and genuine personality with the ability to build lasting guest relationships.A strong commitment to delivering exceptional and personalised guest experiences.Excellent communication skills and the ability to collaborate effectively with teams across the Resort.A proactive approach with the ability to inspire colleagues and enhance service delivery.Required ExperiencePrevious experience in luxury hospitality or high-end guest services is essential.This is an office-based role and does not require a driver's licence.Working PatternPrimarily office-based5 days over 7Flexibility required around VIP arrivals and departuresWe offer exceptional working environments, development opportunities that are Beyond Everything, state-of-the-art equipment as well as very competitive rates of pay & benefits.
