About the Role
As a Project Administrator, you will be central to project coordination and administration, ensuring projects run on time, documentation is accurate, and compliance standards are met. You'll work closely with engineers, account managers, and vendors — keeping schedules, reports, and records up to date.

Key Responsibilities
Project & Team Support
* Provide day-to-day administrative and project coordination support to the Design Team and Account Managers.
* Schedule and organise project meetings, prepare agendas, capture minutes, and follow up on action items.
* Help the team meet milestones and reporting deadlines.
Documentation & Compliance
* Manage all project documentation, including contracts, permits, certifications, and technical drawings.
* Ensure version control, proper filing, and compliance with project documentation standards.
* Maintain audit‑ready records to support internal and external reviews.
* Maintain vendor contracts, compliance records, and performance tracking.
* Support vendor onboarding processes, ensuring required documentation is complete.
* Liaise with vendors on deadlines, KPIs, and issue resolution.
Project Tracking & Reporting
* Maintain project schedules, trackers, and reporting tools.
* Monitor milestones, deliverables, and dependencies, escalating risks or delays where necessary.
* Assist with progress reports and project status updates.
* Act as a liaison between design engineers, account managers, and vendors.
* Facilitate the exchange of technical documentation and design revisions.
* Promote clear and timely communication across all stakeholders.
* Strong organisational and time management skills.
* Attention to detail with a focus on accuracy in data entry and documentation control.
* Ability to manage multiple projects and deadlines.
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Comfortable working with technical teams, engineering documentation, and compliance processes.
* Professional, proactive, and solution‑oriented approach.
Experience & Knowledge
* Proven experience in project administration, project coordination, or PMO support, ideally within a technical or engineering environment.
* Familiarity with vendor management, compliance documentation, and project lifecycle processes.
* Background in supporting design, construction, or engineering teams is an advantage.
* Experience with document control systems, project tracking tools, or scheduling software is desirable.
* Knowledge of electronic security systems is a plus, but not essential.

Job Description
Inland Fisheries Ireland (IFI) has a vacancy for a Administrator (0.5 time – 2.5 days/week) to join the CALM project team.
This role is required to provide high-level administrative support, requiring a thorough understanding of the overall workings and policies of IFI and to support the Peace Plus CALM project. IFI is a partner in the Peace Plus CALM project led by the East Border Region. The project is a cross-border one seeking to improve ecological quality of water focusing on a number of catchments. The appointee will support the catchment officer operating in the Glyde catchment to advance all of the project aims.

KEY RESPONSIBILITIES
Data management & Reporting Responsibilities
* Maintain records of all procurement and financial transactions in accordance with IFI and Lead partner requirements
* Prepare and upload claims for reimbursement on the Peace Plus financial management portal
* Prepare summary data on expenditure for monthly reports
* Prepare responses to queries from Lead partner in respect of expenditure.
* Collate and process claims for the CALM project
* Provide support to project staff in managing the CALM project.
* Ensure that CALM project management complies with all administrative and financial reporting requirements through full project lifecycle.
* Support procurement of works and services to meet project deliverables.
* Liaise with First Level Control verification bodies as required
* Support with any other aspects of project management, including tracking of progress of project activities against goals and deliverables
KEY KNOWLEDGE & EXPERIENCE
The ideal candidate will have the following;
* A recognised third-level qualification at a minimum level of NFQ Level 7, or equivalent
* A full Category B driving licence that is valid in Ireland
* A minimum of two years' relevant experience in an administrator administrative role
* Previous experience working in a large / complex or public sector organisation
* Previous experience in project or programme support
* Demonstrable experience of facilitating in‑person and online engagement/training
LOCATION
The role will be based at IFI HQ at Citywest, Dublin or Creevy County Monaghan. IFI offers a hybrid working policy, more details of which will be shared with prospective candidates at the interview.
REMUNERATION
The salary scale for the position is at the level of Executive Officer as applies in Inland Fisheries Ireland, it is a 14-point scale including 2 long service increments (LSI's): Point 1 €37,564.05; Point 2 €8,360.43; Point 3 ,566.82; Point 4 ,681.39; Point 5 ,578.00; Point 6 ,451.68; Point 7 ,279.53; Point 8 ,069.55; Point 9 ,885.28; Point 10 ,697.27; Point 11 ,622.40; Point 12 ,912.50; Point 13 (LSI 1) ,757.64; Point 14 (LSI 2), IFI Executive Officer Grade Payscales as of 01/08/2025)
TENURE
This role is being offered a part time post 2.5 days week, the duration of this contract will be till end July 2028
