Job Summary
This role supports the sales and management teams by handling rental and sales queries, processing orders and payments, maintaining customer records, and coordinating logistics. It also manages internal meetings, company events, and general office administration, ensuring efficient operations and excellent customer service.
Job Location: Macroom, Cork.
Key Role Responsibilities and Activities
Support the sales and management team with any requests for support.
Manage and respond promptly to rental queries from HSE and nursing homes, ensuring all enquiries are promptly dispatched to the appropriate sales representative for follow-up.
Full coordination of private rental queries from first point of contact, quotation, payment processing and liaising with Logistics Department to ensure prompt delivery – added to differentiate from customer rentals
Prepare and issue accurate sales quotes for the sales team, ensuring all customer requirements and pricing details are clearly documented.
Process sales orders for products, coordinating with relevant departments to ensure timely fulfilment and delivery.
Take payments from customers for rental sales, ensuring all transactions are processed securely and in accordance with company procedures.
Set up new customer accounts, rental, on ERP and CRM Systems system, accurately entering all required information and maintaining up-to-date records
Address and resolve customer queries in a timely and professional manner, striving to deliver excellent service and customer satisfaction. Allocate to appropriate team member.
Respond to pricing queries from the sales team, providing up-to-date information, and assisting with pricing strategies as required.
Manage internal meetings including overseeing of bookings, setting up and refreshments as and when required
Organize internal company events as directed but not limited to Christmas Party, Summer Social, team building events.
Phone support –Triage incoming calls as required
Meet and greet any external visitors to the building, ensuring signing in and health and safety information has been supplied.
Preparation of monthly reporting when required.
Maintain sales associated training management logs
Ad hoc administrative tasks as and when required.
Liaising with internal departments to resolve daily issues

Who exceeds in this role?
Top performers would have:
A minimum of 2 years' relevant experience in a fast-paced environment
Knowledge of customer service principles and practices
High level of computer literacy including a good working knowledge of Microsoft Office
Experience of product order and invoicing customers an advantage
Ability to use own initiative and work with a proactive and pragmatic approach
