At McGettigan's Hotel, Letterkenny we are committed to building an exceptional team.
We are currently seeking a Reservations Manager to join our team.
This is an excellent opportunity for a driven, detail-focused professional with a minimum of one year's experience using Hotsoft and a strong background in group bookings and general hotel reservations.
Reporting to: Operations Manager Working closely with: Sales Marketing Manager, Front Office Team Only candidates who meet the required experience will be contacted for interview.
Key Responsibilities Reservations Management Handle all reservation enquiries and bookings by phone, email, and online channels, ensuring a friendly, efficient, and professional service at all times.
Input all reservations accurately into Hotsoft, ensuring all fields are completed, credit card details are verified, and information is correct.
Send confirmation emails/letters promptly and professionally.
Maintain an organised and logical filing system for all reservations-related information.
Daily Weekly Checks Review all reservations from the previous day, ensuring rates, payment details, and room allocations are accurate.
Check overdue deposits and take appropriate action.
Follow up on no-shows, including processing charges in line with hotel policy.
Complete quality checks on daily arrivals, reviewing for duplicate bookings and correct sales ledger setup.
Liaise with Reception to ensure a weekly arrivals check is completed and all bookings are guaranteed.
Group Bookings Manage all aspects of group reservations, including rooming lists, payment methods, and key contact details.
Ensure accurate completion of all sales ledger and billing requirements associated with group business.
Yield Revenue Support Monitor room availability and ensure correct rates are applied for all periods, including weekends, bank holidays, and special events.
Maintain rate parity across all channels.
Identify and act on opportunities for upselling and in-house revenue generation.
Manage waitlists effectively when the hotel is fully booked.
Customer Service Clearly explain cancellation policies to all guests to avoid disputes and ensure compliance with procedures.
Provide attentive and personalised service, anticipating guest needs and accommodating special requests.
Handle guest complaints professionally and escalate to management as required.
Promote hotel services and facilities whenever appropriate.
Administration Operations Prepare and distribute the Daily Report to relevant departments.
Set up new Hotsoft accounts with meticulous attention to accuracy, especially payment details.
Respond promptly and professionally to all email and online booking enquiries.
Assist the Front Desk when required to support smooth hotel operations.
Accurately post transactions in line with accounting and audit procedures.
Coordinate effectively with all hotel departments to ensure seamless service delivery.
Hotel Standards Consistently deliver the McGettigan's Hotel hospitality standards and provide superior guest service
